Job role description – Fire Alarm Installation Field Manager

The following is the job specification for the Installation Field Manager.

The Installation Field Manager is responsible for the entire installation operation of the company. This will include the full installation process for all jobs submitted to the department for completion.

These will include:

 •  All quoted jobs
 •  Quoted dayworks from Service work
 •  Additional work arising from an installation

The Manager will ensure the department is run profitably, and that all work is completed to the standards expected by the company, as well as to ensure compliance where required.

The role will include the following list of requirements:

 •  Each separate job, to be managed from start to finish. Start being when the file is delivered to the Dept. and finish being when all physical work is complete to the client’s satisfaction, all necessary paperwork, drawings and certification are complete in the file and with the client and the job has been sent to invoicing.
 •  Each new job file is to be reviewed with the Install Administrator, to ensure all necessary information is present and correct.
 •  When a job file is received, and has been checked, to contact the client within two days to acknowledge the job and provide contact details.
 •  Equipment list for the job to be given and ensure that the kit is complete and on the shelf one week in advance of the job starting, or longer for addressable systems.(unless a very urgent start date).
 •  The kit to include a complete job pack, provided by the install Administrator, to include drawings, job overview, site instructions, RAMS, and any other information required for the project.
 •  All engineers collecting kit are to do a full check of the kit against the spec and drawings before leaving the office. If the kit is to be delivered to an engineer, the kit check is to be done by the person delivering the kit.
 •  Where required, arrange a site start visit, with the engineers, and if required with the salesperson who sold the job.
 •  For all current running jobs, the Manager is to call the site Engineer each day to get an update on the job progress to assist with planning. The Manager is to ensure his Administrator is kept up to date with progress following the calls to the engineers.
 •  The Manager is to ensure he has total familiarity with both the job planner and the job tracker. The job planner will show the install diary and what engineers are on what job. The job tracker will show the progress of the job, with notes to be kept by the Administrator to show an up to date status. It is suggested that both the Installation Manager and his Administrator go through the planner and tracker at least three times a week.
 •  All jobs are to be managed through via site visits where required and communication with site engineers. Site visits must include time to walk the site to check the installation is correct against the quote, spec, drawings and to the relevant standards.
 •  Communication with clients through the life of a project is paramount. Clients are to be kept informed on job progress, and if there are any issues that may result in changes to the job or programme.
 •  All larger projects are to be snagged before completion and are to be handed over to the Manager before he does a final handover to the client.
 •  All jobs completed are to be sent to invoicing upon completion. This is to be done at completion and not waiting until month end if earlier in the month. The Manager is to ensure no jobs are missed for invoicing. For longer projects, where progress invoicing has been agreed with the client, he is to ensure that the invoicing for the month or period agreed is submitted, and a record kept for the project.
 •  The Manager is to ensure that any additional time or parts required due to circumstances beyond the control of Fire Safety are documented, and variation orders submitted to the client. He must also ensure that these additional works are invoiced.
 •  Any additional work through an installation is to be recorded on the job tracker as a separate line.
 •  If during an installation, small variations or additions to the work can be done in agreement with the client, this is to be undertaken and recorded as required. Anything greater than this, or if the client has other projects to quote, then this must be passed back to the original sales person for a new quote.
 •  All required engineer inspections, unannounced site visits and engineer and staff appraisals are to be scheduled and undertaken by the Manager. Records are to be kept and information shared with the BAFE Administrator where required.
 •  One job is to be job costed at all times. All expenditure for that project is to be recorded and checked against the quoted amounts. A basic report is to be submitted to the M.D. to confirm if there were any issues or discrepancies.
 •  Two jobs is to be made available annually for the external BAFE inspection.

The Manager is to ensure that the labour resource is managed to the full benefit of the company. He is to oversee the whole operation, reporting to the MD to ensure the correct balance between employed engineers and subcontract labour is achieved.
Employed engineers are to be given priority for all work. He is to ensure the engineers are selected for the project in accordance with experience and qualifications. He will be responsible for planning the training and development of the Engineers.
He is to ensure that his Administration staff are aware of the engineer’s experience and ability in case he is off or away.

The Installation Manager is to report to the MD monthly, providing a current installation overview, report any issues and discuss resources.

Package - £45,000.00 Minimum

Full training room at our head office with multiple fire and security panels

£500 lease on car paid for by the company
