A brand new, world class, state-of-the-art 65,000 ft² clinic with 100 beds (and growing), fully dedicated to Phase I Clinical research (and 7 minutes walking from the train station!)

And this is where you come in because the Clinic is expanding and is now seeking our next Administrative Assistant.

This job is required to be based in our Leeds facility. This is full-time and permanent, 37 hpw.

WHO YOU ARE
 •  Proven experience in providing administrative support in an international environment, including invoice processing, payments and archiving .
 •  Required: advanced proficiency with Microsoft office programs (Word, Excel, Teams, Outlook, etc.)
 •  Educated to GCSE level.
 •  Ability to work in a fast-paced setting with many interruptions. Flexibility, anticipation, and advanced organizational skills are key for adjusting to changing daily priorities.
 •  Able to maintain confidentiality and establish secure filing procedures

Preferred:

 •  Previous working experience in a clinical trial, clinical pharmacology or Lab setting, especially familiarity managing Clinical Trial Masterfile CTMS systems.

ON A NORMAL DAY, YOU WILL...

Provide a broad and varied administrative support to the Clinical Pharmacology Services team, including:

 •  Processing invoices in our financial system
 •  Processing payments for the clinical trial participants
 •  Supporting the Global vendor Management Team with local specific vendors (i.e. tracking contracts, overseeing payments, etc.)
 •  Maintaining departmental files (training files, client contract files, project files...)
 •  Archiving and maintenance of complex and confidential documentation in content management platforms (e.g. CTMS, Veeva Vault, etc.)
 •  Taking meeting minutes
 •  Assisting with department’s efforts on scheduling activities including client visits travel arrangements, scheduling meetings, maintaining calendars, agendas, etc.
 •  Cross-functional communication with all the Clinic teams and vendors
