Hours per week: 40 Monday to Friday, 08:30 – 17:00

This opening assignment is for 3-4 months

A Reception & Visitor Coordinator is required to act as first point of contact for all visitors, including wider staff, corporate clients, council and government bodies, and school groups, ensuring they are welcomed, inducted and find where they need to be.
Responsible for the smooth running of a busy reception desk and visitor centre at the Southwark Integrated Waste Management Facility, providing courteous and professional service to visitors and staff. Assist the Support services Team Leader to provide internal communications support and event coordination for the contract as required.

Key responsibilities:

Management of enquiries via the Southwark Reception inbox.
Deliver staff activities planned for the contract as directed by Support Services Team Leader.

Provide site tours for visitors

Handle external customer enquiries and odour complaints, logging communications onto our information management system ‘ECHO’ and responding as directed by the Support Services Team Leader.
Provide cover and support for the activities of the Support Team as directed by Support Manager Compliance with all policies and procedures.
Provision of site inductions for all visitors and contractors, ensuring inductions are refreshed as necessary.
Provision of administrative support for the Support Services team in key areas of office management activity and site sustainability initiatives for the contract.
Identify opportunities for innovation and process improvement within remit.

Qualifications:

GCSE (or equivalent) English and Maths.
Basic Fire warden or first aid qualifications desirable (training will be provided).

Experience:

General switchboard experience or dealing with people on the phone.
Basic receptionist experience in a corporate professional environment desirable.
Any experience working with children desirable.
Events organisation experience desirable.
Purchase order systems experience desirable.
Minimum of 12 months recent experience in a similar role or context and ideally within a public sector organisation.

Skills & Abilities:

Good communication and interpersonal skills (remaining calm, polite and courteous).
Strong time management and organisational skills.
Excellent standard of written and spoken English.
An interest in recycling and preserving the environment and natural resources.
Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
