Facilities Officer
• Pay Rate: £15.49 per hour
• Location: SE1, London
• Job Type: Temporary Contract until 30 Sept 2024 (potential to extend)
• Working Hours: Mon - Fri, 8.30am - 17.00pm
My Client, an established housing association are looking for a dedicated Facilities Officer to ensure our office estate is safe, secure, and meets all statutory compliance obligations. The role involves providing a clean and tidy workplace that promotes productivity and maintaining the estate to the agreed standard.
The ideal candidate will be committed to delivering exceptional service at all times to stakeholders, colleagues, and customers.
Day to Day of the role:
• Demonstrate and promote excellent customer service consistently.
• Manage budget tracking for your site/s and handle purchase orders and payments.
• Ensure site safety, security, and compliance, including routine tests and audits.
• Inform key building/business stakeholders of any operational issues.
• Manage and maintain site mailboxes and office signage.
• Coordinate Fire Wardens, Fire Marshals, and First Aiders to ensure adequate cover.
• Conduct building checks, resolve issues, and maintain site log books.
• Report and monitor building or maintenance issues to ensure satisfactory completion.
• Facilitate and coordinate third-party contractors on sites.
• Manage staff, contractor, and visitor access control permissions.
• Handle deliveries, post distribution, and courier bookings.
• Provide a ‘one-stop shop’ for customer/resident enquiries, ensuring exceptional service.
• Maintain reception and office areas, ensuring tidiness and up-to-date information.
• Manage catering stock and cleanliness of meeting rooms and kitchen areas.
• Monitor and manage stationery supplies and MFDs/printers.
• Improve environmental, sustainability, and energy initiatives.
• Develop relationships with key building stakeholders and the internal FM team.
• Arrange and conduct monthly formal meetings for site/s, including minute-taking.
• Share best practices and contribute to regular reports.
• Take ownership of your site/s and ensure the highest standards and customer experience.
Required Skills & Qualifications:
• Strong interpersonal skills with excellent communication abilities.
• Professional demeanor and service-oriented approach.
• Proficient IT skills – Excel, Word, PowerPoint.
• Knowledge of video conference and audio-visual equipment.
• Analytical and methodical with attention to detail.
• Previous experience in Facilities Management is preferred but not essential.
