LOCATION

Infleqtion has 4 office locations, operating out of Boulder (Colorado), Madison (Wisconsin), Chicago (Illinois) and Oxford, UK.

This is a hybrid, full-time position in our Oxford and Kidlington offices.

Our flexible working policy enables all full-time employees to work up to 2 days a week from home if work permits.

POSITION SUMMARY

The Business Support Assistant (BSA) will provide a full range of administrative support to executive leadership and staff including travel arrangements, preparing for, and supporting meetings.

The BSA would act as the main point of contact for administrative team needs and be expected to maintain discretion and respond quickly to evolving events and meetings with multiple stakeholders. Finally, the business support coordinator will provide day-to-day office management and include visitor engagement.

JOB RESPONSIBILITIES
 •  Act as the point of contact for complex travel arrangements for the leadership and team members, including the preparation of travel itineraries
 •  Manages the cycle of Senior Management Team meetings, producing agendas, taking meeting notes and circulating once agreed and ensuring timely responses.
 •  Organises other high-level meetings with internal and external professionals/stakeholders as required. (Liaising with facilities management vendors, catering, and cleaning suppliers)
 •  Attend to the company phone number and relay relevant information to appropriate employees.
 •  Act as the first point of contact for office related queries with the support of the Operations team: Welcomes visitors, manages enquiries, redirecting as appropriate; maintains meeting room booking system.
 •  Working closely with the President and Operations teams on a day-to-day basis
 •  Acts as first point of contact for the Oxford Office
 •  Assist in upholding Health & Safety standards and updating internal policies
 •  Provide office tours as required as part of new staff and visitor orientation
 •  Manage the provision, replacement and return of access cards for all staff and visitors
 •  Manage assigned information flow smoothly whilst keeping communication concise across multiple parties
 •  Coordinate facilities related deliveries and maintain stationery stock levels

Requirements

What you will bring to the team

Technical Knowledge & Experience
 •  Previous experience in an administrative or office support role is preferred
 •  Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
 •  Strong communication skills, both written and verbal.
 •  Proficiency in Microsoft Office suite and other relevant software applications.
 •  Ability to work independently with minimal supervision and as part of a team.
 •  Flexibility and adaptability to changing priorities and deadlines.
 •  Technical savvy in MS Office with strong knowledge of Outlook, Word, Excel, and PowerPoint
 •  Professional level experience with general office management and equipment/services
 •  Desire and ability to assess, optimize, and implement new tools as needed; Ability to provide recommendations on process improvement and optimization, and implement as approved
 •  Excellent time management and interpersonal skills with the ability to meet deadlines and help those you partner with also stay on track
 •  Demonstrated ability to work and communicate with all levels of an organization; Professional-level communication skills, including verbal, written, and presentation skills
 •  Demonstrated ability to work comfortably in a highly collaborative, cross-functional, and team-oriented environment
 •  Desire and demonstrated ability to thrive and produce results in a fluid, dynamic, and fast-paced environment
 •  Passion for solving problems and challenges in a highly technical and scientific environment

TRAVEL

Up to 20% should travel be required.

WORKING CONDITIONS & PHYSICAL REQUIREMENTS

Work will normally be performed in an office and laboratory environment and around technical equipment including computers and lasers. Able to sit, stand, bend, lift, and carry up to 40 pounds without assistance. Able to efficiently use automated office equipment such as laptops, copiers, and printers; able to effectively engage in communications (via phone, computer, or in-person).
Any required Personal Protective Equipment will be provided and must be properly used in accordance with company requirements.
