As a member of our exciting Live Productions Support Services Team, you will be one of the team responsible for supporting the UK Live Productions division in an operational and administrative capacity. You will need to work flexibly within a team of Project Co-ordinators based at our Solotech UK offices.
Whilst this position is based in the Birmingham office, there may be occasions you are required to work at our other UK offices in Manchester and London.

Your day will look like this:

 •  Contacting and booking freelance crew for events within the Live Productions division, using a variety of communication methods.
 •  Planning and scheduling freelance crew using the Teamtrack software.
 •  Providing dedicated operational and administrative support to the Project Management team from start to finish, ensuring projects meet the Solotech standard.
 •  Using the Monday software to manage own project tasks, ensuring moving deadlines are met.
 •  Liaising with freelance crew to deliver relevant project information and schedules.
 •  Managing crew logistics (booking hotels, flights, travel).
 •  Creating, processing and tracking crew purchase orders in line with project budget, liaising with the accounts department on any queries.
 •  Onboarding new freelance crew, following the vetting process to ensure freelancers meet Solotech requirements.
 •  Maintaining the crew database, ensuring crew details and documents are kept up to date including Public Liability certificates, A1, Visas, Right to Work documents.
 •  Creating and nurturing professional relationships between crew, suppliers, Project Managers and the wider Live Productions Support Services team.
 •  Supporting the Project Management team with festival admin, including mic masters, accreditation, catering, accommodation and transport requests.
 •  Occasional travel to other Solotech UK locations to oversee project preparation.
 •  Occasional site visits to aid equipment and role knowledge.
 •  Producing ATA Carnets.
 •  Producing customs documentation in preparation for international transport, including manifests and packing lists generated from the Solotech stock system.
 •  Collaborating with multiple departments to ensure tasks are completed accurately and within a suitable timeframe, including the Warehouse Prep team, Asset Management team, Operations team.
 •  Supporting the completion of generic event risk assessment and method statements with job specific information in liaison with Project Manager and Group H&S Manager.
 •  Liaise with third parties, including suppliers and clients, to provide support or handle queries in relation to projects.
 •  Interfacing between the department and marketing to update and maintain social media accounts.
 •  Adhere to Solotech's service standards.
 •  Handle all communication in accordance with the company’s core standards of behaviour.
 •  Any other ad-hoc duties as required.

Level of education:

 •  Educated to A-Level (or equivalent) or proven work experience.

Work experience:

 •  A minimum of 2 years of experience within an administrative or project based role or a similar role within the live events or music industry.

Essential skills / experience:

 •  Proven experience in business administration or project co-ordination.
 •  Flexible and adaptable with the ability to multitask and remain calm under pressure.
 •  Confident communicator, with the ability to confidently adapt communication styles and interact with different personalities and professional levels.
 •  Self-motivated, with initiative and ability to work unsupervised whilst prioritising own workload.
 •  Good working knowledge of Microsoft Office is essential, particularly Excel.
 •  Proven track record of working successfully within a team.

Desirable Skills / experience:

 •  Industry knowledge and interest.
 •  Knowledge and experience of Teamtrack software.
 •  Knowledge and experience of Monday software.
 •  Knowledge and experience of R2 software.
 •  Knowledge and experience of Filemaker software.

Other essential requirements:

 •  Right to work in the UK.
 •  Ability to travel throughout the UK including overnight stays from time to time.
