The post holder is to provide administration and support to the Fleet Manager and other relevant stakeholders in a wide range of fleet-based activities. Compliance in the day to day duties of this role is very important and therefore the post holder must apply an excellent level of detail and diligence in all tasks.
The role requires flexibility, dedication, commitment and excellent communication skills, as the fleet department services all aspects of the business.
Key Responsibilities for the Role:
To provide a broad range of accurate fleet administration support to the business, ensuring that all data is accurate and relevant and that all tasks are completed within a relevant timeframe.
Manage all vehicles to ensure they are compliant with timescales for MOTs and servicing
Ensuring allocated fuel accounts and PINS are provided to each driver
Support with placing orders with external stakeholders, and coordination of the collection and delivery of vehicles
Assist with resolving vehicle breakdowns when required
Raising orders and dealing with invoicing queries
Allocating vehicle supplier accounts when necessary
All vehicle tracker administration, including ensuring all tracker services are up to date within supplier guidelines, driver information is updated onto trackers, trackers are issued to dealers/drivers’ addresses and installations arranged
To arrange payments for Congestion and Dart Charges
Ensuring vehicle and fuel card orders are completed
Liaise with other departments and external stakeholders where necessary to provide information and maintain effective communications
Support other colleagues with any overspill of telephone and administrative duties
Any other ad hoc duties or project support as required and directed by the Fleet Manager
Person Specification
To ensure effective delivery of this role and fully contribute towards team and business objectives, the post holder will need to meet the following criteria:.
GCSE grade C+ (or equivalent) in Maths and English
Full, clean UK driving licence
Experience in communicating with a broad range of stakeholders to coordinate a service
Use of the Microsoft Office suite, including Word, Excel and Outlook
Experience working within a fleet department is desirable
