Event Coordinator – 12 month FTC (up to £27,000)

About the role

As an event coordinator you will report into the Portfolio Director, managing the day to day delivery of content and editorial activities across multiple events within their portfolio and departmental remit from food to outdoor, dance, sustainability and Health & Safety.

As part of this position, you will also be required to work onsite at a minimum of 10 events. You’ll get involved in some ad hoc tasks and responsibilities from time to time and take on some exciting special projects as required to help deliver show content outlined by your manager.

You have a demonstrable passion for events or are a recent graduate looking to get broad experience in many areas of event management. We are looking for a highly organised individual who can manage multiple priorities concurrently. Experience or an interest in the live events or hospitality industry would also be advantageous.

As an Event Coordinator you will;
  • Support the Content team with the management and delivery of workshops, theatres, musical acts, children’s activities and dining experiences
  • Write, issue and manage contracts for contributors at the events
  • Share timetable with relevant teams and ensure they are correct on the show and booking website
  • Be the main point of contact with the tutors and manage workshops ensuring that any amends or updates are communicated to the relevant teams
  • Request images and share with the marketing and ticketing teams
  • Issue all talent related purchase orders
  • Draft and issue itineraries for all talent appearing at the show, ensuring this is accurate at the time of issue and that any changes or updates are communicated promptly to the agents/contributors
  • Request all headshots and bios of talent appearing and ensure they are up to date on event websites
  • Ensure all bookings are clearly communicated to the Marketing team
  • Ensure accurate timetables are shared with the marketing team for website and for onsite signage
  • Be responsible for logistics relating to talent such as booking talent/accommodation
  • Be the main point of contact for all agents in relation to their clients’ appearance at the event
  • Manage budgets ensuring they are regularly updated
  • Liaise with operational teams on talent and workshop related logistics including any furniture set up and requirements
  • Manage talent and workshops on site
  • Act as Competition Assistant for the MOVE IT 2026 Championships
