Service and Contract Administrator

- Job Type: Temp to Perm, Full-time Monday to Friday 9.00am - 5.30pm, office based
- Salary: £28,000 per annum, £14.30 per hour
We are seeking a proactive and customer-oriented Service Coordinator to manage the daily activities of our field-based engineers and coordinate with our external Service Provider. This role is crucial in ensuring that all customer service and support requests are handled within agreed timescales and that our service operations are conducted efficiently and cost-effectively.
Day-to-day of the role:
- Administer the service provided by the external Service Provider, including confirming customer details, authorising visits, and spare parts.
- Handle high volumes of incoming and outgoing calls with customers and our Service Partner, maintaining a professional and positive demeanor.
- Process service orders, verify information, generate invoices, track orders, and coordinate with other departments or vendors to fulfill customer requests.
- Maintain accurate and up-to-date records of service activities, customer interactions, and service agreements.
- Coordinate field engineers’ schedules in conjunction with customer requests, both internal and external.
- Organise product installations in conjunction with the sales team, engineers, and customers.
- Manage inventory levels of service parts, equipment, or materials, and coordinate with procurement or warehouse teams to replenish stock as needed.
- Manage all administration concerning retained engineers’ work, including updating the online diary (Outlook), requesting spare parts, and raising job sheets via the service management system.
- Address queries regarding engineers’ visits and resolve any billing discrepancies or issues with customers or finance departments.
Required Skills & Qualifications:
- At least 3 years of relevant experience as an administrator in a service-oriented and international environment.
- Proactive, customer-oriented attitude with flexibility, accuracy, and stress resistance.
- Excellent planning, organising, and attention to detail.
- Strong written and verbal communication skills.
- Experienced in administrative roles with a proven track record of pragmatic and accurate administrative skills.
- Familiarity with health and safety legislation and company QA systems.
- Willingness to attend internal and external training courses and assist in other areas of the company’s operations as required.
