Business Support sits in the heart of our business, providing EA support to our dynamic executive Team. We extend our assistance across the entire organization, ensuring our colleagues have all the tools and resources they need to excel. The team is changing and that’s why we are now recruiting for an Executive Assistant to support this busy team.

The role – what you’ll be doing

As an Executive Assistant your role is hugely important and will include:

Acting as the point of contact amongst executives, colleagues, customers and other external stakeholders
Extensive calendar and diary management
Manage own time effectively ensuring that workload levels are noted and deadlines met
Book and arrange travel, transport and accommodation and manage subsequent expenses
Managing email inbox and sending responses for Executive team
Managing information flow in a timely and accurate manner
Monitor and provide reminders of important tasks and deadlines for Executive and wider team
Proactively support the preparation and production of documentation for meetings (agendas, minutes, reports, presentations and actions monitoring)
Liaise with colleagues, suppliers and customers as required
Provide support to the rest of the Business Support team by providing cover in supporting their Executives and carrying out any tasks as required
Support events management and external meetings
Manage Cover Reception as required, assisting visitors and carrying out office management tasks
Carry out miscellaneous tasks to support the Executive and reporting colleagues as required
Carry out Fire Warden and First Aider duties and ensure that any incidents are reported as appropriate.
Contribute to H&S risk assessments and report any H&S issues as necessary
Identify risks in own area of responsibility, recognise risks in all areas of the business and notify any such risks to your People Manager and the Operational Risk Manager.

About you - and the value you’ll bring to our team

You’ll have previous experience as a senior Level EA, including working with a range of internal and external stakeholders.
You have experience gained in a fast-paced environment delivery high quality support and administrative activities.
You’ll be able to work with minimal direction and be able to take complete ownership of your workload.
You’ll be willing to work flexibly and adapt to change positively in a fast-moving environment.
You can demonstrate planning, organisation, time and data management and administrative capabilities and have good communication skills.

You’re a pro-active, self-motivated team player with the ability to manage an interesting and variable workload and be willing to assist and support other team members when required.

Ideally you’ll have experience of working in a regulated environment
