Job overview
The post holder will be responsible for the day-to-day administrative support for the Interventional Radiology team. Providing essential support for patients and interventional radiology consultants ensuring a high quality, efficient and responsive service is provided.
To work in conjunction with the Interventional radiology consultants and Assistant General Manager to ensure the highest quality of service is provide at all times in line with local and national objectives.
Main duties of the job
Ensure proactive co-ordination of all IR clinics allowing all referrals are booked accordingly. Communicate with a range of clinical/non-clinical staff regarding progress of patient’s referral.
Receive and act on complex information as directed by the IR Consultants, ensuring patients who have attended clinic receive clinic letters and that cancellations are rebooked to avoid loss of valuable slots.
Book appointments, re-book/change when requested following national guidelines and department policies.
Establish and maintain effective communication with clinicians across the trust to support the smooth running of the IR clinics.
Working knowledge of a range of IR procedures where queries from patients and medical staff arise.
Liaise with IR consultants to minimise waiting list times, vetting queries, list utilisation and efficiency, patient on pathways
Sighted on inpatient demand and confident to reorganise lists as directed by IR consultants.
Document IR consultant annual leave and work alongside the IR consultants ensure disruption to the service is minimised.

Detailed job description and main responsibilities
To ensure proactive co-ordination of all Interventional Radiology Clinics.
Communicate with a range of clinical (consultants, radiographers, advance nurse practitioners, nurses) and non-clinical staff.
Receives and acts on complex information that has been agreed by the IR consultants.
Facilitates communication between IR and other relevant clinical services.
To ensure all clinic patients have follow up letters as dictated by IR consultants and that any cancellations are re-booked to avoid loss of valuable slots
To liaise with clinical teams regarding pre procedure tests.
To notify and liaise proactively with the IR Consultants where there are capacity problems.
To be responsible for booking appointments, ensuring that any DNAs are logged, re-booked or changed when requested.
To monitor any overbooking of Interventional Radiology sessions and where necessary liaise with medical and nursing staff to manage, referring to the IR consultants where there are on-going concerns.
Once an IR booking has been confirmed, send the appointment letter and relevant information to the patient.
Ensure the Interventional Radiology team are kept informed of all expected admissions or cancellations.
Request and liaise with anaesthetics for GA support when necessary.
Attend all IR meetings to discuss patient booking and admissions.
Communicates with patients regarding their appointments and IR procedures.
Provide advice and guidance to patients and relatives on appointments, procedures, information leaflets, fasting instructions.
Acts as first point of contact with IR dealing with queries from patients, relatives and medical staff outside IR.
Request all pre-procedure tests.
Request anticoagulant drug history
To have responsibility for input and maintenance of good quality data on the patient information systems.

Qualifications
Essential criteria- GCSE English and Maths to grade C or higher
- Educated to a degree level or equivalent
- Word processing RSA Level 3 or equivalent practical experience
Experience
Essential criteria- Experience of using own initiative, prioritising workload and utilising organisational skills
- Able to communicate effectively to a diverse range of people
- Computer literate in Microsoft Office packages (Word, Excel, Outlook, Teams)
- Excellent accurate attention to detail
- Experience of working within the NHS
- Diary management skills
- Experience of Radiology Appointments, CRIS or the Trak Care patient system.
- Experience of data entry, maintain databases and data validation
