Applications are invited for a motivated and experienced individual to join our busy division as a Band 6 Assistant Service Manager based at our Barnet & Chase Farm sites.

The post holder will support the Service Manager in the operational management of the service, including providing leadership and expert guidance to the MDT team, and working closely with services to deliver improvements to cancer care. The post holder will be one of three Assistant Service Managers leading the MDT teams across RFL.

As a Group, RFL receives over 50,000 suspected cancer referrals every year, making it one of the largest acute cancer providers in the country. RFL also delivers cancer care across three tertiary tumour sites, taking national and international referrals for expert advice and treatment.

You must have the ability to communicate with all the members of a busy clinical and operational team and be able to balance the demands of a fast paced and challenging role using a flexible and proactive approach.

You will work very closely with the Service Manager and Ops Managers for Cancer ensuring robust processes are in working order to support Cancer Performance and Patient experience.

Previous cancer service or hospital based experience and experience of staff management are advantageous but training will be given.

To work with Operational Managers, Lead Cancer Clinicians, and Cancer MDT Service Manager to ensure continuous improvement of a comprehensive cancer MDT service that meets the requirements of our key directives.

To line manage the Cancer Service MDT Coordinator Team comprising of MDT Coordinators, MDT Trackers and MDT Assistants.

To support the development of policies for Trust wide collection of patient data and information, e.g. Cancer Tracking policy, Two-Week Wait policy etc

To support Service Improvement and ensure that this is undertaken from the patient journey perspective

To ensure effective development, functioning and review of Trust Multi Disciplinary Team meetings. (MDTs)

To ensure there is effective and regular communication links with all service providers/commissioners to ensure the development and agreement of referral guidelines, protocols and pathways.

To ensure effective measurement and monitoring to achieve the required cancer data collection, targets and outcomes through development and use of consistent definitions, data collection systems and audit systems producing progress reports on target referrals.

The post holder is required to understand the importance of meeting deadlines.

To participate in the effective development of the cancer services Multidisciplinary team to ensure they play a central role in achievement of the NHS Cancer plan in respect of treatment, and data quality.

The post holder will support the Service Manager in the operational management of the service / directorate.

  • Deliver appraisal and mandatory training requirements for all staff within these teams
  • Lead and participate in the validation and review of data collection for our monthly dataset submission within the service/directorate.
  • Support the governance arrangements within the directorate including audit, complaints, incidents, risk and health and safety.

Management Responsibilities

MDT Management

To work with Operational Manager, Lead Cancer Clinicians, and Cancer MDT Service Manager to ensure continuous improvement of a comprehensive cancer MDT service that meets the requirements of our key directives.

In conjunction with the cancer services team have accountability and responsibility for the Trust cancer data.

To participate in the effective development of the cancer services Multidisciplinary team to ensure they play a central role in achievement of the NHS Cancer plan in respect of treatment, and data quality.

To review complaints relating to Cancer Services Multidisciplinary team, as required, providing written responses on behalf of the service and ensuring these are comprehensive and balanced.

Information and Audit

To ensure that all mandatory national data submissions such as Cancer Waiting Time and Clinical Outcomes and Services Datasets are submitted on time.

To ensure effective measurement, monitoring and prospective tracking arrangements are implemented. Develop methods for data collection and storage pertaining to Cancer Waiting Times and other directives both local and national.

To develop and implement training, in use and dissemination of consistent data definitions, systematic collection systems and audit systems, waiting times adjustments and cancer waiting times national definitions.

To support the development of the strategy for both Cancer data teams and other admin teams outside of Cancer Services but within the Trust (e.g. booking office and Radiology department) to ensure consistent use, Trust wide.

To use other Trust IT systems (e.g. Cerner, RIS, IEP, PACS Exchange, etc) to ensure Trust’s compliance with Cancer Targets.

To support audit and research activity/projects ensuring good communication with other members of the team so as to improve services based on audit activity/results.

To provide information support for the Trust Executive Team, utilising appropriate manual and electronic systems to ensure the implementation of the Trust cancer strategy runs smoothly and achieves national and local targets.

To ensure effective communication to all stakeholders.

To represent the Trust at internal and external meetings as required, advising and providing feedback to managers and follow-up action planning to ensure a seamless cancer service.

To communicate with all members of the multi disciplinary teams, face to face, by telephone and hospital e-mail system to resolve sometimes difficult cancer information queries and issues relating to specific projects.

Management of staff

To line manage the Cancer Service MDT Coordinator Team comprising of MDT Coordinators, MDT Trackers and MDT Assistants.

The Post holder must ensure that recruitment and retention, disciplinary, performance management and grievance issues, appraisals, management of change and redundancy issues are carried out in a professional manner according to Trust policies

To oversee the effective recruitment, induction, training and development of all non clinical staff within departments across the Group, writing job descriptions, arranging interviews (dates and venue) and chairing interview panels, ensuring that each member of staff has a robust Personal Development Review (PDRS) and a Personal Development Plan (PDP) agreed as part of the Knowledge and Skills Framework (KSF).

To provide the management and transformational leadership skills to the broader Cancer Services Team and ensure that staff are supported and developed in line with the service need and professional development.

To provide leadership and take line management responsibility (direct and delegated) for staff within cancer services.

To ensure appropriate implementation of Trust HR policies e.g. Annual / Special Leave, Attendance Management, Grievance, Harassment /Bullying, Flexible working, Study Leave, Disciplinary.

To participate in the effective development of the cancer services Multidisciplinary team to ensure they play a central role in achievement of the NHS Cancer plan in respect of treatment, clinical outcomes and quality.

Budget authorising for temporary staff and time sheets.

Responsible for the development of polices and procedures and their implementation for the MDT office.

Responsible for the coordination of departmental annual leave and cover, including the recording and monitoring and submission of sick absences

Responsible for ensuring that the MDM team are updated on all Departmental, Divisional and Trust polices and are adhered to.
