Job Description
The key responsibilities for the Admin Assistant role are:
Administrative Support:
- Perform general administrative duties, including filing, scanning, and data entry.
- Manage calendars, schedule meetings, and coordinate appointments.
- Prepare reports, presentations, and correspondence as needed.
- Handle incoming and outgoing communications, including phone calls and emails.
- Maintain organised and up-to-date records and documentation.
Credit Control:
- Monitor customer accounts to ensure timely payments and manage overdue balances.
- Prepare and send invoices, statements, and payment reminders.
- Liaise with customers to resolve payment disputes and address queries.
- Work with internal teams to reconcile accounts and identify discrepancies.
- Maintain accurate records of collections and provide regular updates to management.
- Assist in developing strategies to improve credit control processes and minimise outstanding debts.
The Successful Applicant
The successful candidate for the Admin Assistant role is someone with the following:
- Experience: Proven experience in an administrative role with element of credit control responsibilities.
- Skills:
- Strong organisational and time-management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with accounting software or systems is a plus.
- Attributes:
- High attention to detail and accuracy.
- Ability to prioritise tasks and work under pressure.
- Problem-solving mindset and proactive approach.
