Working closely with the Head of Medical Staffing and Business, and the Executive PA to the Medical Director, you’ll help keep our busy portfolio running smoothly through strong organisation, attention to detail and great communication. You’ll provide highquality administrative support to the Medical Director and wider medical leadership team, including the lead for the Post Incident Staff Support Pathway, ensuring efficient and effective service delivery.
This role is all about being proactive, reliable and collaborative. You’ll build strong working relationships across the directorate and beyond, contributing to a positive team culture and helping us maintain the high standards our services are known for.

The role includes cancelling and rescheduling meetings when required, managing diary changes effectively, and issuing updated correspondence in a timely manner. You will support key workstreams within the medical directorate portfolio, liaising with relevant leads to progress actions, meet agreed timescales, and escalate any issues as needed.
The post holder will also ensure all requirements for upcoming meetings and events are completed, including booking rooms, managing calendar invites and circulating papers. General office duties are an essential part of the role and include electronic filing, photocopying, scanning, uploading documents and distributing information.
You will manage incoming and outgoing emails, ensuring responses and messages are handled promptly and accurately. The role requires strong organisational skills and the ability to prioritise a varied workload, raising any conflicts or pressures with the line manager as appropriate.
You will be expected to use initiative, respond appropriately to situations and seek guidance when necessary. The post holder will receive and handle enquiries for the team, ensuring information is recorded and passed on accurately. This includes redirecting queries where appropriate and taking clear, concise messages while maintaining tact and professionalism.
