Job overview

To provide an efficient and effective Medical Secretary service to a specific Consultant and their medical team.

To be responsible for the day to day leadership of the Medical Secretarial team, assisting with the recruitment process, supervision and co-ordination of the Medical Secretaries in the Locality.

The post holder is required to manage their day to day workload and use their initiative without supervision which will require informed judgement, excellent organisational and communication skills and the ability to multi-task and prioritise competing demands.

To ensure effective lines of communication between team members, patients and others, whilst maintaining confidentiality at all times.

Main duties of the job
  • To provide an efficient and effective Medical Secretary service to Consultants and their medical team within Carrick CMHT.
  • To be responsible for the day to day leadership of the Medical Secretarial team across Localities, assisting with the recruitment process, supervision and co-ordination of the Medical Secretaries in the designated service area.
  • Provide effective communication between Clinicians, General Practitioners, multi-disciplinary teams, patients, managers, and all necessary internal & external contacts to achieve an excellent and smooth patient pathway. Enquiries/contact can be via telephone, correspondence, email or face-to-face requiring a sensitive and patient manner. The post holder will require a high level of competence and confidence with a strict requirement of confidentiality and following governance policies.
  • Plan, organise, use initiative and judgement in prioritising own workload, which can be pressured and require a high level of concentration.
  • Provide cover/cross cover for medical secretary pairing partner, in the absence of other medical secretaries as required to maintain a service to patients.
  • Attend meetings, as necessary, take and transcribe minutes, follow actions notes and disseminate information as required, which may include MDTs, Professionals and Best Interest Meetings i.e., meeting with patients/relatives, which may involve the recording or distressing situations/information.

Qualifications & Experience

Essential criteria
  • RSA/OCR III word processing or equivalent
  • RSA/OCR II audio typing or equivalent
  • NVQ 4 in Administration or equivalent knowledge or experience in relevant subject area
  • Willingness to undertake training and CPD as required
  • GCSE Maths and English /Key Skills equivalent
  • Advanced IT, computer & keyboard skills with experience of spreadsheets and databases
Desirable criteria
  • Previous experience of working as a medical secretary in healthcare setting
  • RSA III Audio-Typing or equivalent
  • Supervisory / Management Qualification or equivalent experience or knowledge
  • Previous secretarial/administration experience of working in a clinical environment

Knowledge & Abilities

Essential criteria
  • Knowledge of medical terminology
  • Minute taking
  • Ability to work unsupervised and on own initiative
  • Ability to multi-task and respond quickly to changing priorities, re-organising own and team’s workload to meet deadlines
Desirable criteria
  • Knowledge of MHA and its application
  • Knowledge of the Trust’s electronic information systems
