An opportunity has arisen for a motivated and enthusiastic administrator to join the Trust and provide Administrative Assistant support to the COO Senior Management Team.

Candidates must have strong prioritisation and excellent organisational skills together with the ability to remain calm and collected in a busy dynamic environment. The post holder must be able to communicate effectively with a wide range of workforce groups.

We are looking for an individual with proven experience working at a senior Administrative Assistant level, preferably in the NHS and within an operations team. Experience of project management would also be advantageous. Candidates must be able to demonstrate advanced secretarial skills, both written and verbal and be able to liaise confidently with internal and external stakeholders, be competent with IT skills, in particular Excel, Word, Emails and electronic diary management.

This is a full-time post working 37.5 hours per week Monday to Friday office based at RCHT.

To provide a full and comprehensive range of administrative support to the COO Senior Management Team.

Qualifications

Essential criteria
  • Good general education including GSCE Maths and English at Grade C or above or equivalent
  • Word processing qualification
Desirable criteria
  • Secretarial Certificate or Diploma
  • Loggist Training
  • Knowledge of current NHS IT systems

  • At least 2 years' proven secretarial experience working at a senior level.
  • Experience in taking, transcribing and circulating minutes of meetings.
  • High level working knowledge of Microsoft Office applications.
  • Electronic diary management.
  • Worked independently with limited supervision.
  • Understanding of access and performance targets.
Desirable criteria
  • Experience within a large NHS or public sector organisation.
  • Working within an operational setting.

Practical and Intellectual Skills

Essential criteria
  • Excellent written and oral communication skills.
  • Able to manage own workload and prioritise work effectively in order to meet deadlines.
  • Able to communicate effectively at all levels of the organisation.
  • Able to draft documents with or without instructions.
  • Good problem solving skills.
  • Knowledge of data protection, confidentiality and Information Governance.
  • Ability to work with minimal supervision.
  • Extensive experience of developing databases and producing reports using Microsoft Excel.
  • Understanding of the principles and importance of audit and data collection in the healthcare environment and ability to produce reports from audit data.
