Main duties of the job
The successful candidate will lead a small team of administrative staff carrying out a range of admin duties including managing referrals, contacting patients, relatives and a range of professionals and using Health Board electronic systems to enable the smooth running of the busy, friendly department.Hours are 37.5 hours per week (Monday to Friday).
The post holder will have line management responsibility for the staff in the team including overseeing attendance, annual leave and performance reviews.

Knowledge
Essential criteria- Knowledge of secretarial and administrative processes and procedures
- OCR/RSA III qualification with advanced keyboard skills.
- Knowledge of organisational policies and procedures
- Knowledge of some medical terminology
- Knowledge of Waiting Lists and RTT
- Knowledge of ESR system to record and monitor admin staff absences and training requirements
Experience
Essential criteria- Experience of working in a team environment.
- Experience of working in a multi-disciplinary setting
- Experience of using Welsh PAS (Myrddin) patient database system
- Experience of supervising staff
- Experience of using databases and spreadsheets to record, gather and analyse data/information
- Previous NHS Experience
- Experience of using ORACLE Financial Management System.
Skills
Essential criteria- Excellent oral and written communication skills
- Ability to work to tight deadlines, whilst maintaining the quality and accuracy of the work.
- Ability to communicate waiting list information to a range of staff groups
- Demonstrate organisational skills to prioritise and manage own workload within time constraints.
- The ability to speak or learn Welsh to a satisfactory level.
