Office Administrator (5574)
Murray Recruitment is currently seeking a skilled and proactive Office Administrator to join our client’s expanding team in a permanent post.
In this role, you will be key to supporting contract fulfilment by coordinating Planned
Preventative Maintenance (PPM) and Reactive Works, ensuring compliance with contract Service Level Agreements (SLAs) and managing associated documentation.
Key ResponsibilitiesProcess and type Service & LEV reports submitted by engineers.
Prepare Service & LEV reports and job sheet documentation for engineers.
Assist the Service Manager in preparing quotations.
Maintain organized records by electronically filing all reports.
Upload site visit photographs and ensure accurate documentation.
Prepare and distribute LEV Logbooks to clients.
Update work progress on Microsoft Teams.
Close completed jobs, review reports, and submit engineer reports to clients.
Raise and manage maintenance contracts within the software system.
Serve as the first point of contact for customer enquiries.
Manage the central email inbox efficiently.
Source parts and prepare quotations.
Provide general administrative support as needed.
Skills and ExperienceHighly organised with exceptional attention to detail.
Strong numerical skills and proficiency in calculations.
Excellent problem-solving and planning abilities.
Ability to multitask effectively and adapt to changing priorities.
Strong written and verbal communication skills.
Confident in liaising with suppliers, clients, and team members.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
Self-motivated with the ability to work independently.
Previous experience in a technical service provider, facilities management, or engineering company is preferred
Offering
Salary: £24k - £26k DOE
Working Hours: Monday to Thursday: 08:00 - 16:30 and Friday: 08:00 - 15:45
Hybrid Working: Initially full-time office-based in Hillington during training, then hybrid working available (3 days office-based, 2 days remote) after three months.
Holiday Entitlement: 20 days’ annual leave plus 8 statutory holidays, with additional days between Christmas and New Year.Company Pension Scheme
