An opportunity has arisen at Yorkshire Ambulance Service NHS Trust for a dedicated individual to join our busy and expanding Administration Team within YAS Academy.

Base: Walnut Lodge, Woodfield Park, Tickhill Road, Balby Doncaster, DN4 8QP

Working Hours:0800 - 1600 Mon - Fri

Office Based with the opportunity to work from home one day a week once established and fully trained.

We are looking for the successful individual to be reliable and flexible and demonstrate commitment to achieving both their own and the Trust goals, whilst fully committing to the team ethos.

The successful applicant will provide effective, efficient and comprehensive administration support to the whole Academy function, including Academy Management team and wider Trust stakeholders, whilst demonstrating an understanding of administrative processes and procedures to support the smooth running of the business function.

The Academy Administration Officer will act as first point of contact for a range of education and learning enquiries.

The post holder will liaise with other departments and external organisations to ensure high levels of co-operation and organisational effectiveness, and will support the production of timely and accurate workforce/performance information.

The Academy Administration Officer will be responsible for responding to the workload in conjunction with the Academy Administration Manager, ensuring all tasks are completed on time and to a high standard.

The post holder will handle confidential data in accordance with current regulations and will report to interested parties as requested by the Academy senior management team.

The role requires the successful candidate to act as point of contact for academy related queries from wider team and operational staff, dealing and responding effectively to complex queries from stakeholders, passing on relevant information to appropriate team members sensitively and autonomously.

The Academy Administration officer must be to input, monitor, and analyse training data/records required for finite and ongoing projects within the Academy.

To provide general administration support to the Academy team. Offering advice and practical provision of administrative issues.

Dealing with a range of non-routine activities and enquiries including problem solving using own initiative and chasing progress.

To act as a key resource through the provision of administration support where necessary, providing efficient, effective and customer focused administrative services, as set out in relevant department, organisation and NHS policies and procedures.

Act as an effective communication link between the Academy team, stakeholders and the public, dealing appropriately with complex, sensitive, and confidential information.

Provide advice, instruction and familiarisation to new starters, alternative duties staff and new management team members.

Support with the inputting, monitoring, production and analysis of training data, records and information required for finite and ongoing projects within the Academy.

Progress promptly matters which require urgent attention within area of responsibility, working without supervision, using own initiative to problem solve.

Work without direct supervision seeking guidance where appropriate.

Update and maintain educational Learning Management Systems (LMS) for changes in employee details, training records course bookings and completions.

Provide administrative functions as requested to maintain service continuity using time management, organisation, and prioritisation skills.

Work to deadlines and have ability to multi-task where there is a need to allocate and frequently reallocate tasks to meet organisational requirements.

Continually review ways of working within the administration team, suggesting improvements to procedures to ensure continued efficiency and effectiveness.

To always adhere to Yorkshire Ambulance Service NHS Trust policies and procedures and propose changes for own area of work.

Responsible for the procurement of supplies within the department, ensuring stock levels are maintained, considering cost, quality, delivery time and reliability of supplier.
