We have an exciting opportunity at Children and Family Health Devon (CFHD) for a Personal Assistant to the Management team. This role is 30 hours per week between Monday-Friday (to include a Friday).

Main duties of the job
  • Within this role the post holder will play a key role in providing comprehensive business administration support for the Management Team. This will involve: liaising with various members of the Directorate and external Departments or Trusts, organising multiple electronic diaries through use of Outlook, maintain records, the typing of minutes from various Directorate meetings, operating a bring forward system and preparing papers for relevant meetings.

Detailed job description and main responsibilities

Tasks include but not restricted to:

  • Administrative support to Senior Leadership Team including diary management.
  • Meeting support including preparation, minute taking, updating action logs, chasing actions.
  • Develop and maintain effective working relationships with a range of people.
  • Assist in the production of wide range of written material including reports.
  • Supporting leadership functions such as vacancy and training panel meetings. Processing invoices.
  • Use initiative and organise own time effectively.
  • Deal with and respond to written and email correspondence on behalf of the management team.
  • Arrange meetings, conferences, appointments etc.

Qualifications and experience

Essential criteria
  • Good general education at GCSE
  • RSA, NVQ Level 4 or equivalent experience
  • Advanced MS packages knowledge and IT skills
  • Effective communication skills
  • Effective organisational skills
  • Able to support meetings/minute taking
  • Prioritisation skills and time management skills
Desirable criteria
  • Experience at event organising
  • Project planning experience
  • Previous PA support to senior manager level
  • Experience in customer care/healthcare or education setting
