Job overview

We are looking for a full-time (37.5 hours) motivated and enthusiastic Team administrator with a wide range of office skills to provide administrative support to the Learning Disabilities Community Team. The post holder will be the primary point of contact for the team and will be responsible for managing enquiries that come into the service in a manner responsive to customer needs and in accordance with consent to share information.

Other duties include providing administrative support, receiving referrals to the service, managing the team's generic emails, taking minutes, post distribution, receiving and disseminating information, maintaining the electronic patient database, ordering equipment, and general administrative duties.

An English and Maths GCSE or equivalent is essential to the post, as is previous administrative/secretarial experience. In addition, excellent communication and organisational skills are also required.

A comprehensive knowledge of Windows packages is also required.

Main duties of the job

To provide the clinical team with an efficient and effective secretarial and administrative support service. The post-holder will be expected to work without immediate supervision and to ensure that all duties are carried out to a high standard in liaison with clinical and managerial staff.

Part of your role will be assisting the service manager with his/her clerical and managerial duties. This will involve a high level of discretion and confidentiality as you will be interacting with sensitive patient and staff data and information.

Qualifications

Essential criteria
  • A level or equivalent
  • GCSE (A*-C) or equivalent in English and Maths

Skills & Knowledge

Essential criteria
  • Demonstrable knowledge of MS Word, Outlook and Excel
  • Accurate data entry and typing skills – 45 wpm+
Desirable criteria
  • Accurate minute taking
  • Ability to create rotas

Experience

Essential criteria
  • Equivalent Admin work experience
  • Experience of data entry using various databases
  • Experience in supervising staff in their daily work
Desirable criteria
  • Experience working in an NHS setting
