My client is seeking a dynamic Personal Assistant to the Managing Director for a full-time, office-based role in a lovely modern office environment. This position offers a diverse range of responsibilities, requiring you to effectively prioritize and manage various administrative tasks, including event coordination.The ideal candidate will support multiple team members, demonstrating a high level of professionalism, initiative, and the ability to build strong relationships across all levels of the organization. Proven experience in a similar role and exceptional Microsoft Office skills are essential for creating high-quality, innovative presentations.
Key Responsibilities:
- Prepare, collate, and distribute Board papers
- Arrange travel and catering
- Manage diaries and organize meetings
- Handle correspondence and confidential documents
- Perform general typing and filing
- Maintain an efficient filing system
- Take minutes as needed (excluding shorthand)
- Arrange holiday cover for other administrators and distribute work during busy periods
Departmental'Office Administration:
- Answer and direct telephone calls
- Organize team events, including staff outings, briefings, and the Christmas party
- Take minutes for weekly and project meetings
- Coordinate and minute various meetings
- Prepare offer letters and strategy documents
- Manage invoices
- Assist in setting up consultation events
- Maintain contact lists
- Promote a paperless environment through ongoing scanning
- Provide ad hoc office support, including reception and phone coverage
- Manage meeting rooms
