This role is mainly working from home (WFH) though you would need to be commutable to London for team meetings as required.

The role is offered on a mat cover 12-13 months.

The Organisation & Context

You’ll be joining a leading Professional Association within the Medical Sector, who deliver a varied range of events throughout the UK for their membership, a large group of specialist Practitioners. You’ll work alongside 2 other Event Officers and as a team you’ll be looking after the Regional Events Programme (training, dinners, local events), looking after your own group of Regional contacts to support their event delivery.

Events in the main have a high educational/professional aspect, and are essential to the safety, professional and technical development and delivery standards of their specialist services.

Role:

As Events Officer (Local Services) and working in a team of three Officers you’ll professionally manage and deliver a professional events support service to the Branches and Specialist Groups, ensuring high quality standards and excellent customer service are maintained. Your role will be mainly home based WFH and will focus on the administration and communication side of the events – in particular Web update and promotion, CRM and delegate management and communication, while updating and supporting your Local contact as needed with ad hoc advise or support. The team look after 15-20 regional events a week between them, CPD/Training events, dinners and local events (delegate numbers ranging from 10 to 150. Your role will be varied across event marketing (updating copy and website), delegate management, customer service, and event support. The role is mainly working from home, though you would need to be commutable to London for team meets as required. Specifically your responsibilities will include:

  • Work in the Local Services Event team to support the Regional Event programme – dealing directly with local event contact on the event communications and delegate communications and admin for their event
  • Be main Local Services contact for your group of Region/Branches – look after the Local contact for each event - and support the delivery of the Association’s busy local events programme
  • Collate and proof all written copy, promotional pieces and website pages for local events and add events copy to the website
  • Update the Event marketing spreadsheet for each event as activities and milestones are reached
  • Set up event on Web/CRM system - managing delegate bookings (online, phone and email) and manage delegate queries for each event, including post-event
  • Maintain a high level of customer service with delegates and Local officers – answering queries and disseminating information
  • Reporting and review overall programme activity working closely with your wider team
  • Respond to appropriate member and delegate enquiries, both on phone and via email
  • Assist other colleagues in the Local Events team and the wider Events team as and when necessary
You:

You’ll have previous event experience, and be very thorough, great attention to detail, good on systems and excellent customer service skills. Experience of updating websites and dealing with delegates and using a CRM are all of high value. With delegate communications and registration, handling bookings for events and queries, at the heart of what you do, excellent communication skills are key. We’re looking for someone who can really make an impact quickly, so you’ll already have proven excellent admin skills, as well as (ideally but not essential) use of a contact database/CRM. Your excellent admin skills are complemented by your good written/proof reading skills. Flexible and hands on, you’ll have excellent customer service skills, and if you already had some experience of delegate management that would be highly advantageous. Specially you’ll bring:

  • Event management experience, and enjoy working on the delegate management side of projects – enjoy juggling multiple projects and giving excellent service
  • Excellent personal organisation skills, including the ability to prioritise, plan, work to tight deadlines and manage a range of complex administrative demands
  • Good IT skills, including Outlook, Word, Excel, and use of a contact management database/CRM
  • Demonstrable ability to work with a high attention to detail and accuracy
  • Experience of proof reading items such as promotional flyers and website copy
  • Excellent interpersonal, written and verbal communication skills. Confidence in ability to interact with people at all levels
  • Commitment to a high level of customer service to internal and external customers
  • Demonstrable experience of working as part of an effective and busy team
  • Desirable - demonstrable experience of delivering events and managing delegate bookings
  • Desirable – working on website updates
  • Desirable - appreciation of the professional expectations and demands that medical professionals work within
