Job overview

An exciting opportunity has arisen for a part-time Administration Assistant / Receptionist to join our Adult Community Treatment Team. The role will primarily be based at the Plessey Centre in Blyth, though the post holder will at times also be required to travel to other local bases, including West Farm House in Cramlington.

Travel expenses will be paid where appropriate and in line with Trust policy.

The Post holder will have experience of working in similar work environment and will have previous administration experience,

Key skills:

  • Administration experience working within a team.
  • RSA/OCR Level 2 Typing qualifications or equivalent.
  • Experience in a customer / patient and service user focused environment.
  • Excellent communication and interpersonal skills.
  • A good understanding of the RIO system (not essential as training given to those who have not worked on this system before).
  • A good knowledge of Microsoft word/office packages and typing skills.
  • Good verbal and written communication skills.
  • Note taking skills.
  • Ability to be self-directed, motivated and be able to contribute positively within a team.
  • Well organised and structured.
  • The post holder will be expected to demonstrate flexibility in the role.

Main duties of the job

The post holder must be able to use own initiative, work under pressure, uphold confidentiality, keep to strict deadlines and have excellent organisational, interpersonal and communication skills. You will undertake a variety of duties including taking incoming calls, dealing with day to day queries, updating patient information system (RiO), sorting incoming/outgoing post, completing work from a shared inbox/work tray and reception duties, covering reception, all under the direction of the Administration Team Lead.

The post-holder will be based in main reception, greeting clients, answering calls and providing administrative support to the clinical team as required. Responsibilities will include taking accurate messages, responding to queries, reporting jobs to estates, ordering supplies as required, working from a shared inbox, arranging appointments and meetings, typing letters and reports, note-taking at meetings, updating client details and maintaining our patient information system.

Qualifications

Essential criteria
  • General level of education to O-Level/ GCSE or equivalent A-C grade
  • Intermediate (Level 2) Typing/Word processing qualification and/or relevant demonstrable experience e.g. 12 months experience.
Desirable criteria
  • Other English / Maths basic skills qualification

Skills and Knowledge

Essential criteria
  • Working knowledge of Microsoft applications, including e-mail communication
  • Able to input data accurately and efficiently.
  • Undertake repetitive tasks whilst maintaining attention to detail.
  • Good communication and interpersonal skills, both verbal and written, face-to-face and non-facing customers.
  • Demonstrates good customer care skills at all times.
  • Good working knowledge of office procedures.

  • Admin experience within a team, min 1 year
