Project Coordinator

The Project Coordinator will be responsible for supporting the smooth delivery of a wide range of client projects across our global locations. The role performs various coordinating and administrative tasks that help to ensure that projects deliver on time, on budget and to a high standard.

They work closely with the Project Management team, Finance and Business Development teams.

Responsibilities
  • Manage the setup of project structures and tools
  • Work with clients to ensure that all required documentation and assets are provided
  • Set up and track invoicing milestones
  • Ensure that finance information for each project is up to date
  • Brief PM team on documentation and setup structures
  • Work with the Project Manager to eliminate blockers
  • Support PM team with specific tasks for client presentations when required
  • Manage the content and structure of the internal knowledge base
  • Review and manage holiday requests for Artists
  • Organise weekly project review meeting
  • Optimise and improve processes, data capture and management tools

Requirements

  • Methodical and analytical approach
  • Strong attention to detail
  • Highly numerate
  • Excellent communication skills to a range of audiences
  • Ability to multitask and operate in a high pace environment
  • Excellent understanding and experience of Google Sheets and Google workspace
  • Experience with GitBook or similar (eg. Confluence)
  • A positive team player able to motivate, support and reassure
  • Experience with Zapier or similar task automation tools would be beneficial
  • Ideally a background in architectural visualisation, real estate, interior design or marketing
  • Work experience as a Project Coordinator or similar role would be advantageous
  • Solid organizational skills, including multitasking and time-management
  • Experience with project management tools (e.g. Basecamp or Miro) advantageous
