Job Title: Commercial and Administrative Assistant

Hours: Monday to Friday, 8:00 AM - 5:00 PM (1-hour lunch break)
Type: Permanent

Work Environment: Fully office-based

Job Description:

We are seeking a dedicated and organised individual to support the Management team with a variety of commercial and administrative tasks. The successful candidate will play a crucial role in ensuring the smooth operation of the business services.

Key Responsibilities:

  • Schedule, create, and verify work orders
  • Handle written and verbal correspondence with customers
  • Coordinate with engineers and prepare offers
  • Maintain master data
  • Produce quotations
  • Raise purchase orders
  • Manage billing processes
  • Plan and oversee preventative maintenance
  • Contact suppliers for hires and materials
  • Organise workload for engineers
  • Book travel arrangements
  • Attend weekly meetings
  • Take minutes during monthly managers' meetings

Skills and Competencies:

  • Excellent organisational and multitasking abilities
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to work independently and as part of a team
  • Attention to detail and accuracy in work
  • Strong problem-solving skills and the ability to handle multiple priorities
