Senior Office Coordinator
The ideal candidate will be self-motivated, a strong communicator, and able to multitask with ease in a fast-paced environment.
Responsibilities- Office-based role working from Monday to Friday, with working hours available for 8:30 - 17:00 or 9:30 - 18:00.
- Ensuring a welcoming and well-presented reception area is maintained at all times.
- Manage the daily upkeep of the office, including organisation of supplies, coordination of cleaning services, and addressing maintenance issues.
- Answer and direct all incoming phone calls and emails, providing high-quality customer service to clients and customers alike.
- Coordinate meetings and calendars for multiple executives and teams, ensuring scheduling conflicts are minimised and deadlines are met.
- Maintain and update office files and confidential information with care and accuracy.
- Oversee and manage the office's administrative functions, including records management, database tracking, and employee paperwork.
- Develop and implement office-wide procedural improvements as needed, to ensure efficient operations and a positive experience for all employees.
- Manage office events and activities, including planning for office events, ordering supplies, and coordinating transportation as necessary.
- Proven previous experience in an office based environment.
- Demonstrated experience with office management, administration, and/or customer service.
- Excellent communication, interpersonal, and organisational skills.
- Ability to multitask and prioritise daily responsibilities in a fast-paced work environment.
- Must be able to work without supervision, as well as collaboratively in a team environment.
- Proficiency in Microsoft Office Suite and ability to learn new software as needed.
- Must be detail-oriented with strong problem-solving skills and the ability to take initiative.
