Job overview

We are seeking an organised and motivated administrator to join our Vulnerable Children’s Team (VCT) within the Children’s Safeguarding Service at Stockport NHS Foundation Trust. Previous clerical experience in health services would be desirable.
The post holder will be responsible for ensuring an optimum level of efficient administrative support to the nursing team in a timely and accurate manner to enable delivery of this high-quality service to children and families by the health professionals.

Previous experience of handling sensitive and confidential information is essential.

Main duties of the job

The role is non patient facing and would include requesting health information for patients and uploading shared information such as Multi Agency Risk Assessment (MARAC) and Safeguarding information to EMIS electronic patient records once signed off by a clinical nurse.

The role includes working along side the Safeguarding Children and Children in Our Care Teams supporting their admin function as and when needed. The service operates between the core hours of 08:30am and 17.00pm Monday to Friday for which administrative support is required.

Detailed job description and main responsibilities

Collecting and inputting data onto a patient electronic health record, investigating and acting on discrepancies to maintain accuracy.

Answer telephone calls and action appropriately as the primary contact for the team.

Responsible for maintaining accurate documentation on the EMIS Electronic Record relating to patient care.

Assess all incoming referrals and allocate to clinical nursing team.

Support the collection of data using excel spreadsheets and shared drives

Maintain client/patient confidentiality and information governance.

Photocopying, scanning, taking accurate messages for team members.

To support with taking minutes at meetings.

Liaison with all partners.

Support with the induction and training of new employees in the Vulnerable Children’s Team admin role.

Accessing the Trusts information / updates through email on a regular basis.

Working alongside the Safeguarding Children and Children in Our Care Teams supporting their admin function as and when needed.

Any duties that may be assigned from time to time.

Person specification

Education & Qualifications

Essential criteria
  • Good general education (5 GCSE's or Equivalent, including English and Maths) or equivalent experience
Desirable criteria
  • Basic Secretarial or Business Administration Qualification
  • Knowledge of Safeguarding Children, Domestic Abuse and public protection
  • ECDL or equivalent Microsoft Office Qualification at Intermediate or Advanced Level or equivalent experience
  • Knowledge of Medical/healthcare terminology

Experience

Essential criteria
  • Previous clerical/secretarial expeirence
  • Experience of dealing with sensitive and confidential information
Desirable criteria
  • Worked in healthcare setting previously

Skills & Abilities

Essential criteria
  • Computer Skills, including advanced keyboard skills, Word, PowerPoint, Excel, Databases
  • Able to work on own initiative without constant supervision
  • Able to record accurately
  • Able to work flexibly as a member of the Team
  • Able to communicate at all levels
  • Able to plan and organise workload in accordance with urgency and have a good understanding of time management
Desirable criteria
  • Knowledge of Hospital EMIS / Patient Centre / Advantis systems
