Job Posting: Group Travel Coordinator

Purpose of Role

The purpose of this role is to:

  • Serve as the first point of contact for customers with group travel enquiries for 10+ passengers.
  • Achieve revenue targets in line with wider commercial plan.
Key Accountabilities
  • Group Travel Management: Oversee all Group Travel bookings for 10+ passengers from start to finish.
  • Customer Enquiries: Respond to customer enquiries via inbound/outbound phone calls, webforms, and emails.
  • Sales Back-Office Operation: Professionally manage the group sales back-office, ensuring ticketing requirements, seat reservations, and financial transactions are handled accurately.
  • Client Administration: Facilitate internal and external client administration, ensuring all relevant correspondence, including quotes and invoices, are produced promptly and effectively.
  • Upselling: Proactively upsell clients on higher yield products, including First Class and exclusive carriages.
  • Customer Experience: Collaborate with Route teams and the Sales and Support Assistant Manager to deliver the Ideal Customer Experience.
  • VIP Bookings: Liaise with the Service Delivery Manager to ensure VIP booking details are shared accurately and timely.
  • Event Support: Assist in the pre-planning and attendance of sales exhibitions and events.
  • Business Platform Enquiries: Respond to customer enquiries related to the Business platform.
Key Relationships and Interfaces
  • Internal: Group Sales Manager, Group Sales Team Leader, Operations & Service Delivery Manager, Revenue Management Team, Customer Resolutions Team.
  • External: External and prospective clients, TMCs, travel and event companies, school tour operators.
Person Specification
  • Knowledge: Good knowledge of the UK travel market.
  • Skills:
  • Excellent telephone manner with the ability to influence customer behaviours.
  • Strong written communication skills to ensure clear communication with customers.
  • Well-organised to manage pipelines proactively.
  • Team player who supports the delivery of team revenue targets.
  • Strong attention to detail, ensuring accuracy in all customer bookings.
  • Previous experience with booking engines and CRM systems.
  • Experience:
  • Previous experience in travel reservations is preferable (e.g., hotel group, conference group, tour operator, travel agent, or airline).
  • Commercial background is preferable.
  • Previous inbound/outbound sales experience is preferable.
