An exciting opportunity has arisen within the ENT department for a full-time Clinic Coordinator to join our team.
You will be part of a well-established team in a very busy department, your role is to manage and monitor clinics and support the managerial team and secretaries with clinic related queries.
The main responsibilities of this role include:- Referral management – use of PCS & the NHS e-Referral system
- Scheduling of outpatient appointments
- Management of waiting lists
- Monitoring the Telephone Reminder Service (TRS)
- Managing Referral to Treatment (RTT) patient pathways in line with Trust targets
- Monitor New and Follow up appointments
- Monitoring Nurse/Inpatient referrals
- Amending clinic templates
- Reviewing clinic slot utilisation
- Amending clinical activity in line with Rota
- Handling internal/external appointment enquiries
- • Excellent accuracy, organisational and communication skills

- Able to work under pressure and meet demanding deadlines
- A high level of concentration is required and attention to detail.
- Meticulous accuracy is essential in order to maintain service levels
The hours of work are 37.5 per week to be worked over Monday to Friday

You will work closely with the Support Manager to coordinate the various functions of Outpatients including reception cover, clinic capacity and provision of health records for use in clinic.
The successful applicant will be expected to organize and priorities the workload of a small team to ensure an effective and efficient service is provided, escalating issues to Management team where appropriate.
The successful applicant will possess the ability to exercise initiative suitable to the role to ensure all urgent patients are appointed in a timely manner in line with the Patient Access policy, and clinic capacity is utilised to its full potential.
Good communication skills are essential as the post holder will be expected to deal with enquiries from patients and healthcare professionals both internal and external to the department.
Previous experience within a similar role within the Trust and knowledge of Outpatient processes would be particularly advantageous, although full in-depth training will be provided as part of our local induction programme.
The post holder will be expected to work their hours during core hours (08:30 – 16:30) over 5 days in line with the needs of the service.
