About the role:

  • Part-time - 20 hours per week across 5 days (some flexibility, open to discuss)

£23,000-£25,000 pro rata

As the Office Coordinator you will be responsible for the overall administrative support and coordination of the Bristol office.

Please note the Office Coordinator would be responsible for opening of the office 4 days per week and would be required for a 7.45am start.

Key Responsibilities

Office /Admin Duties:

  • Being the first point of contact for visitors, both face to face and over the telephone (if required).
  • Receive deliveries.
  • Provide administrative support for onboarding of new team members.
  • Provision of ID badges (if required).
  • Purchasing or ordering of stationery, refreshments, and general supplies.
  • Coordinate Lunch Of The Month.
  • Support the administration and organisation of office and company events if requested.
  • Support local service suppliers for offices outside UK.
  • Monitor local service providers for quality (if required).
  • Identify/report maintenance issues to facilities manager.
  • Ensure Office is maintained in a clean and welcoming environment.
Supervising contractors at the office.
  • Office Workplace Health & Safety Duties:
  • Member of the H&S Committee for NSI.
  • Local safety induction for employees & visitors.
  • Support facilities manager to maintain a safe working environment for office employees and visitors.
  • Conduct Fire Alarm checks as required by the facility.
Support as Office First aid and/or Fire Warden.
  • Essential Skills & Experience
  • UK drivers’ licence (if supporting more than one office)
  • Eligibility to work in the UK.
  • Excellent communication skills both written and verbal.
  • Ability to understand and act on priorities driven by business need.
  • Strong IT skills in Microsoft Office suite.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal and external stakeholders.
  • Flexible attitude to ensure smooth running of the office.
  • Highly organised with the ability to prioritise a busy workload.
  • Ability to deliver tasks on time and with a high degree of autonomy and accuracy, whilst maintaining momentum under pressure.
Flexible, positive and committed team member, who works to very high standards.
  • Desirable Experience
  • Health and safety experience / qualification.
  • Member of relevant professional body.
  • Ability to resolve issues as they arise and provide effective solutions.
  • Strong attention to detail.
Self-motivated with demonstrated ability to work effectively both independently and as part of a team.
