Job overview

The post holder will be required to work as part of the administration team and provide cross cover during periods of staff absence within their existing team and other teams within the Directorate as and when required. This support should be provided during the core hours of 0830 and 1730 and should be aligned to the Direct Clinical Care time of the Consultants for whom they support.

The post holder will provide efficient and comprehensive administration support, working as part of a team, covering all aspects of the Neurophysiology Outpatient Reception . Duties will include providing a reception service to patients, relatives/carers and all staff groups, arranging patient appointments via telephone or face to face and demonstrating a high standard of customer care.

Knowledge of the NHS computer systems would be advantageous; however, training will be available. Your role will include Admin duties and clinic prep.

We are seeking team players who are able to work under pressure and prioritise their own workload, whilst responding to the needs of the department. The successful candidates will be expected to cover for annual leave and sickness.

Main duties of the job

To work as part of a clinical clerical team to support a defined team of clinicians, nurses and other healthcare professionals

You will be working in an outpatient setting and your duties will include providing reception cover, collection, delivery and prepping medical notes, dealing with incoming and outgoing post, filing, answering patient calls/enquiries and other general administrative duties.

You will be responsible for greeting patients entering all patient arrivals and outcomes onto the Patient Administration System.

Excellent organisational and interpersonal skills will be required for this post as you will be expected to communicate well with all levels of staff and the general public and work well within a team.

Detailed job description and main responsibilities

Provide a reception service to patients, relatives, carers and all staff groups.

Editing, sending reports/letters and uploading to ICE.

Provide general administrative services as required by the department;
Locate medical notes within a department or request them from other locations;
Provide timely collection and delivery of medical notes when required;
Assist in requesting copies of notes, investigations and results from internally and from other healthcare organisations;
Filling letters and reports in medical notes promptly and cross reference whenever necessary and general office filing;
Receive and sort daily post, date stamp and distribute as appropriate;
Photocopying, posting documentation;
Deal with telephone or face-to-face enquiries within agreed limits and take appropriate actions;
Assist with Reception administration and update the relevant databases and patient information systems when required;
Prepare case note folders and complete necessary documentation for all new patients;

Liaise with other hospital departments, GPs and other health care agencies when required.

Provide cross-cover within team during absence and follow relevant organisational policies on notification of sickness absence and participation in individual appraisal.

Education, training and qualifications

Essential criteria
  • Educated to Minimum 3 GCSE at Grade C or above incl English.
  • NVQ2 or equivalent level of education, experience or knowledge

Knowledge & Experience

Essential criteria
  • Good written & verbal Communication.
  • Experience working in busy office and reception environment.
  • Good IT skills.
  • Courteous, Tactful and efficient telephone manner.
  • Proficient in Microsoft packages including Word and Outlook.
Desirable criteria
  • Experience working in NHS.

Skills

Essential criteria
  • Good organisational skills able to plan and prioritise workload.
  • Ability to communicate with all levels of staff including Consultants, junior medical staff, practitioners, Managers and others as required.
  • Developed attention to detail & accuracy.
  • Able to work well as part of a team.
  • Standard keyboard skills
