Executive Assistant
Robert Half Office Team are currently recruiting for a Executive Assistant based near Covent Garden for a 6 month period initially.
The Executive Assistant role will play a pivotal role in ensuring the smooth operation of the leadership team by providing comprehensive administrative support to the C-Suite. This position also encompasses the managing and the day-to-day running of the Head Office, as well as overseeing other business facilities, and coordinating team activities.With a strong focus on organisation, communication, and multitasking, the Executive Assistant will act as a key point of contact, for both internal staff and business partners and contacts. The role requires a proactive approach to problem-solving, confidentiality, and a commitment to maintaining a well-organised, productive environment for all stakeholders.
Key Responsibilities:
- Identify and implement cost efficiencies and process improvements.
- Enhance commercial opportunities for the company.
- Inbox management
- Diary Management
- Expense processing
- Oversee international expansion to over five locations outside the UK.
- Manage the delivery and production of two major shows in the UK.
- Develop business models and financial plans to support international rollouts.
- Manage operations
- Assess and mitigate business risks.
- Oversee contractual agreements and negotiations with suppliers.
- Ensure quality control and consistency in line with brand guidelines.
- Handle all health and safety aspects
Required Experience:
- Experience in office administration, management, or secretarial work.
- Familiarity with diary management and booking travel is preferred.
- Experience with expense and travel management systems is desirable.
Skills/Knowledge:
- Proficient in MS Office (Word, Excel, Outlook, PowerPoint).
- Ability to build and maintain relationships with internal and external stakeholders.
- Self-motivated, with the ability to work independently.
- Team player, adaptable to business needs.
- Strong organisational skills, multitasking ability, and time management under pressure.
- Confident communication and diplomacy skills with senior stakeholders.
