Role Introduction:

This is an exciting opportunity to become an integral part of the Legal & Compliance Department in a dynamic, high-growth technology business.

As Legal Operations Assistant, you will be key to the success of the Legal Operations function within the Legal & Compliance Department - responsible for providing support to the Head of Legal Operations.

What You Will Do:

The Legal Operations Assistant will work closely with and support the Head of Legal Operations in enchancing the efficiency and effectiveness of the Legal & Compliance Department. This role involves administrative tasks, facilitating communication within the team and the business as a whole, and ensuring compliance with legal processes and policies. The role includes, but is not limited to:

  • Assisting the organisation with management of legal documents and contracts;
  • Maintaining and updating the legal department filing systems, databases, case management tools, internal intranet site;
  • Preparing and formatting of legal documents, reports, policies, process and presentations for internal meetings and external communications;
  • Acting as a liaison between the Legal & Compliance Team and other departments to faciliate seamless communication on legal matters;
  • Managing shared email inboxes;
  • Coordinating meetings, maintaining agendas and documenting minutes as necessary;
  • Supporting the Head of Legal Operations in communicating with external legal counsel, third party suppliers and other stakeholders;
  • Assisting in identifying areas for process improvement within the legal operations function;
  • Assisting in the implementation and monitoring of legal department compliance with internal policies and external regulations;
  • Assisting with creation and updating of policies and procedures;
  • Gathering and analysing data relating to legal operations and support decision-making and reporting;
  • Utilising legal and other technology tools to enhance service delivery and operational efficiency;
  • Supporting the adoption of new systems and tools aimed at improving legal workflows and support to the organisation.

What You Will Have:

The ideal candidate should have/possess:

  • at least five years' experience as an Executive Assistant or other high-level administrative role;
  • previous experience in a legal environment, preferbly in legal operations, preferable;
  • excellent organisational and multi tasking skills, with a keen attention to detail;
  • strong analytical and problem-solving abilities;
  • exceptional written and verbal communication skills;
  • strong understanding of legal processes, terminology and documentation practices;
  • high level of proficiency with legal software and tools as well as MS Office 365 (inciding Word, Microsoft and Powerpoint);
  • ability to work independently and collaboratively within a fast-paced environment;
  • high level of professionalism and confidentiality.
