Job overview
The Dorset Prosthetic Department consists of a small team of staff who provide rehabilitation services, prosthetic limbs, and orthotic devices to patients with complex physical needs. The team consists of a Consultant in Rehabilitation, Clinical Manager, Physiotherapist, Occupational Therapist, Counsellor, Podiatrist, Nurse, Prosthetists and Orthotists as well as administration staff.
We require a flexible, committed secretary to support the team with secretarial and administration tasks and to facilitate the smooth running of this service.

Main duties of the job
The job is very varied and includes liaising with the contracted company who manufacture the limbs, being responsible for recording staff annual leave and training, arranging interpreters, organizing meetings and taking minutes.
You will need excellent communication skills to liaise with the team, community staff and external organisations and to communicate with patients face to face and on the telephone.
We are looking for a person with proven secretarial and administrative/IT skills ( e.g. Word, Excel, Publisher) to support the team and the manager, which will include being administratively responsible for the patient information for the service, as well as preparing flow charts and teaching aids.

Detailed job description and main responsibilities- Provide a comprehensive and flexible administration and secretarial service to the multidisciplinary team within the DPC.
- This includes Physiotherapist, Occupational Therapist, Nurse, Counsellor, Podiatrist, Orthotic administration staff and reception staff.
- Provide administrative support to the Centre Manager, providing a full range of skills to support the administration of a busy Prosthetics and Orthotics Service.
- Assist the Centre Manager to achieve a paper light/paper free working environment by facilitating IT and Clerical processes to support this aim.
- Liaise with the Contractor staff regarding logistical matters that require resolution (waste disposal, equipment and environmental maintenance and fault calls) and take the necessary action to seek a solution as required.

Qualifications
Essential criteria- Educated to GCSE level with good numeracy and literacy skills.
- RSA 111 Typing or equivalent typing and computer skills gained in the workplace
Experience
Essential criteria- Experience of supporting a multi-disciplinary team
- Experience of running an office and maintaining efficient and effective systems.
Technical skills
Essential criteria- Advanced keyboard skills
- Take minutes and transcribe producing a concise and accurate account.
- Audio typing
Knowledge
Essential criteria- Working knowledge of software packages – Word, Excel, Power Point, and Publisher Detailed knowledge of a range of secretarial procedures
