Job overview

The Dermatology Department is looking for an experienced Secretary to join its busy Secretarial Team. We are looking for someone with an approachable, helpful and flexible attitude who enjoys working as part of a Team but is also capable of working on their own.

You should also have good communication, administrative and organisational skills and be able to produce accurate audio typing and clean-up letters. A knowledge of medical terminology is also advantageous.

The post is for 23 hours per week over 3-4 days (one day of 7.5 hours will need to be worked on a Friday).

Main duties of the job

To provide a comprehensive Medical Secretary and PA service to Consultants and their Team within the speciality, including co-ordinating meetings as required, ensuring compliance with CCG requirements, producing clinic letters, other documents and dealing with patient and GP queries and concerns in a sympathetic and constructive manner.

Where required, line management of Band 3 Support Secretaries, including mentoring for career progression and overseeing the progress of Apprentices.

Qualifications

Essential criteria
  • Educated to A Level or Level 3 Business Admin/IT qualification or equivalent experience including
  • English GCSE pass at Grade 4 or above
  • Maths GCSE pass at Grade 4 or above
  • Touch typing certificate or equivalent experience
  • Audio typing experience
  • Secretarial qualification (RSA III) or equivalent experience
Desirable criteria
  • IT specialist, health informatics qualification or equivalent
  • Team Leader/Management qualification
  • Medical Terminology Certificate or equivalent

Experience

Essential criteria
  • Experience of secretarial/administrative work
  • Typing/audio typing
  • Prioritising, planning and organising own tasks
  • Working within guidelines and developing administrative processes
  • Customer service and dealing with enquiries in difficult situations
  • Data entry and producing reports
  • Experience of IT packages – Microsoft Office
  • Secretarial and administrative experience including diary management, co-ordinating and arranging meetings, minute taking and developing templates.
  • Allocate and monitor work of others

  • Familiarity with Epic computer system
  • Previous experience of working in the NHS as a Medical Secretary
