To work as part of a team providing administrative support to Obstetrics, Neonatal and Gynaecology medical secretaries, with particular responsibility for nurse led clinics.
The post holder will be required to demonstrate a significant level of initiative in organising their workload and in making decisions and taking action in accordance with departmental policy.
Main duties of the job
Having good attention to detail and strong communication skills, the successful candidate will provide comprehensive administrative support service to the Perinatal & Gynaecology Medical Secretaries.
They will have responsibility for the nurse led clinics, with support & training from colleagues. This will include typing clinic letters, processing and monitoring results & referrals for patients.
Liaising on a daily basis with consultants, registrars, specialist nurses and the management team.

Detailed job description and main responsibilities
Provide a comprehensive clerical service to the Medical Secretaries/Consultants/Registrars and other members of the Trust including the production of accurate typewritten material.
Collect clinics sheets every day and scan to Clinical Web Portal before distributing to relevant medical secretary
Provide audio typing and word processing facilities as required, for nurse led clinics and registrars. Ensuring that the work is completed in accordance with KPIs, with minimal errors.
Maintain filing systems – ensuring all correspondence in hospital notes and assuming monitoring responsibilities for investigation results reading all results and identifying those which need to be brought to attention of the medical staff.
To order and manage stationery using Trust ordering system
To receive and process incoming mail, bringing this and other relevant matters to the attention of the appropriate person taking independent action as necessary
To accurately input and update all relevant information systems using keyboard skills as appropriate
To telephone enquires in a timely and effective manner and to take messages ensuring they are distributed to the appropriate staff member
To ensure all duties are carried out to the highest possible standard
To undertake any tasks relevant to the work of a medical secretary which develop as a special requirement of the Directorate
Person specification
Experience
Essential criteria- Administrative NHS experience
- Working knowledge of Microsoft Office
- Working knowledge of NHS systems, including PAS, Clinical Web Portal, Dragon dictation
- Experience as a B2 support secretary working in a medical secretariat
Education
Essential criteria- • English Language GCSE or equivalent
- • RSA/OCR III or equivalent speed and accuracy or relative experience
