ROLE OVERVIEW AND PURPOSE
The HR Compliance Officer plays a crucial role in ensuring that our HR processes, policies, and transactions align with legal and internal compliance standards. This position requires a strong understanding of HR compliance, employment law, and Right to Work regulations in the UK and Ireland.
Working closely with the HR Compliance Manager, management teams, and IT, you will help maintain compliance across the business by monitoring HR systems, data accuracy, and audit requirements.
Additionally, as a super user for our Team Member Gateway (TMG) – Oracle, you will support team members in navigating the system efficiently and resolving any issues related to HR compliance.

KEY RESPONSIBILITIES- Manage the renewal process for Right to Work, including issuing letters, ECS checks, and Deed Poll verifications.
- Oversee system access for compliance-related platforms such as Right to Work, Vetting, and ISIM.
- Monitor vetting applications and ensure compliance within 10 & 12-week timeframes.
- Assist in internal audits to ensure HR compliance with policies and regulations.
- Review and update policies and procedures to reflect legislative changes.
- Act as a super user for Oracle (TMG), providing guidance and support.
- Monitor and review data quality within TMG, ensuring accuracy and compliance.
- Collate data for bulk uploads related to terms and conditions changes.
- Review the TMG dashboard daily to identify and resolve system errors.
- Provide training to team members on Right to Work, TMG, Vetting, and new processes.
- Assist in designing new procedure guidelines for HR processes.
- Administer Group Benefit Schemes, liaising with the Company Broker.
- Oversee and approve requests under the Cycle to Work scheme.
- Review and approve Long Service Awards, issuing letters where required.
- Support the BIDs Team by providing HR compliance data and statistics.
- Ensure HR files and data comply with the retention policy.
- Process purchase orders for HR suppliers.
- Assist with internal and external audits, ensuring all required documentation is collated.
- Support general queries related to TMG and HR compliance.
- Provide holiday cover for the Recruitment Administrator when needed.
- Previous experience in an HR or administration role.
- Strong knowledge of UK employment law, Right to Work, DBS, and security vetting regulations.
- Experience using Oracle (or similar HR HCM system).
- Minimum CIPD Level 3 qualification (or working towards) OR a degree in Human Resources.
- Advanced Microsoft Excel and PowerPoint skills.
- Excellent administration, analytical, and problem-solving skills.
- Ability to work independently, use initiative, and thrive in a fast-paced environment.
- Strong written and verbal communication skills.
- Highly organised with excellent attention to detail.
- A collaborative approach with strong stakeholder management skills.
