We are now looking for an administration assistant to join our team to provide clerical support to the Outpatient Pharmacy, and when appropriately trained, support the provision of services on the pharmacy counter.

The ideal candidate must have excellent communication skills and administrative experience.

To enhance your skills and to provide support to existing pharmacy staff, you will be expected to undertake a pharmacy counter assistants course – this will be funded by SDH Developments LTD.

Main duties of the job

Duties will include:

  • Telephoning patients to arrange prescription delivery
  • Photocopying and filing of pharmacy documents
  • Responding to telephone and email enquiries
  • General admin duties
  • Reconciliation of cash register

Once pharmacy counter assistant qualification undertaken, your duties will be extended to include:

  • Receiving & handing out of prescriptions
  • Cash register payment processing
  • Sale of over-the-counter medicines
  • Advising patients on the use of their medications
  • Over-the-counter stock management

SDH Developments Ltd, a wholly owned subsidiary company of South Devon Healthcare NHS Foundation Trust, provides pharmacy services to patients and visitors attending the Outpatients Department at Torbay Hospital. These services continue to develop, and we are now looking for an administration assistant to join our team.

Detailed job description and main responsibilities
  • Work effectively as a member of the outpatient pharmacy team.
  • Recognise your personal limitations and refer to appropriate colleagues when necessary for the benefit of the patient.
  • Build effective relationships with colleagues – these colleagues will include:
  • Patients
  • Medical and nursing staff
  • Pharmacy staff – both inpatient and outpatient
  • GP staff
  • Provide patients, patients’ representatives, healthcare staff and other people who visit or telephone the Outpatient Pharmacy with an efficient and co-operative service by responding directly to their needs or, if necessary, referring to appropriate member of staff.
  • Ensure that prescription documentation is maintained and stored appropriately in accordance with the law, and policies and procedures.
  • Assist customers with their questions or referring them to a pharmacist for medicines information.
  • Be fully conversant with and comply with, departmental procedures to ensure consistent provision of services.
  • Be aware of and operate within, current health and safety legislation and comply with safety policies and procedures.
  • Strictly observe confidentiality of all information concerning patients and comply with procedures relating to the Data Protection Act.
  • Represent the service to a high professional standard in conduct, manner and appearance.
  • Photocopying and filing of materials to support the pharmacy’s business functions.
  • Entry of data to support monthly analysis of business performance.
  • Assist in the organisation of prescription delivery with patients.
  • Deal with enquiries either in person, by telephone or email from colleagues, visitors or members of the public.
  • When qualified, sell ‘Pharmacy Only’ and ‘General Sales List’ medicines to patients under the supervision of a pharmacist.
  • When qualified, receive, hand out and verify prescriptions in accordance with procedure.
  • Stock management of over-the counter stock.

Qualifications and training

Essential criteria
  • GCSE English Grade C or equivalent
  • GCSE Mathematics Grade C or equivalent
Desirable criteria
  • Pharmacy Counter Assistant

Knowledge and experience

Essential criteria
  • Good communication skills, both verbal and written
  • Good organisational, time management and planning skills
  • Excellent customer service skills
  • Computer literate
Desirable criteria
  • IT qualification
