This is an exciting opportunity for an experienced administrator to play a key role as a Business Support Officer for Community Services across the Children and Families Care Group.
We are looking to recruit an enthusiastic, dynamic and motivated individual who is flexible in their approach and who will efficiently support the AHP/Community Paediatrics Service Manager and Team Leaders with the delivery of strategic and operational objectives.
You will work pro-actively and on your own initiative and be able to manage workload and ensure information is communicated appropriately and enquiries are directed correctly. Excellent communication skills are essential with an ability to deal with sensitive and challenging situations.You will be required to utilise a personal computer for word processing and database management.
You will be expected to liaise with a wide range of people, partner organisations and agencies, both internally and externally on behalf of children’s community teams services, ensuring that a professional image is maintained at all times.
Main duties of the job- Administrative support for named children’s community health teams including (but not limited to) diary management, co-ordinating meetings and minute taking/notes.
- Frequent use of Trust’s E-Procurement, HealthRoster, ESR systems and other electronic computer systems.
- Utilise Microsoft programmes and advanced keyboard skills to provide a confidential and efficient administrative service to the Team.
- Maintain own and individual team members’ electronic diaries, arranging appointments and ensuring cover arrangements are in place when necessary.
- Liaise with teams to obtain data / performance reports e.g. business intelligence, activity reports, financial information.
- Attend, support and participate in relevant meetings and huddle.
- Be accessible wherever possible at all times within core working hours. Support with the updating of Standard Operating Procedures.
- Requirement to travel between Trust sites across a geographical area within Staffordshire and Stoke on Trent as deemed necessary to ensure consistency and equity of provision of services.
- Undertake training when necessary to ensure own personal development and to develop new skills to successfully carry out duties of this post.
- Prioritise work and meet deadlines in order to meet the requirements of the post.

Qualifications and training
Essential criteria- NVQ Level 3 Business Administration
- OCR/ RSA III or equivalent
- Advanced computer literacy/skills in Microsoft Office (Excel, Word, Outlook, Powerpoint).
- BTEC Diploma in Business Administration
- Level 4 in Business Administration or equivalent
Experience
Essential criteria- Significant experience in administration duties.
- Previous experience of setting up office/ administrative systems.
- Handling sensitive data.
- Experience of analytical processes.
- Ability to plan, schedule and organise day to day work.
- Experience in the NHS
- Knowledge/Experience of NHS Systems.
- Experience of supporting projects.
Skills, knowledge, abilities
