Teaching and Administrative Assistant

This is a dual role through which the individual will work part time as a teaching assistant whilst also providing part time administrative support for the school/college. The amount of hours for each role cannot be specified as this may change from day to day depending on the needs of the students or amount of administrative tasks that may need to be completed.

In the Teaching Assistant role the individual will:

  • Work with class teachers to raise the learning and attainment of students
  • Promote students’ independence, self-esteem and social inclusion
  • Give support to students, individually or in groups, so they can access the curriculum, take part in learning, and experience a sense of achievement

In the Administrative Assistant role the individual will:

  • To provide administrative, financial and public relations services to the school
  • To provide a high-quality reception service for all telephone and email enquiries and personal visitors to the school

Duties and responsibilities

Teaching and learning
  • Demonstrate an informed and efficient approach to teaching and learning by adopting relevant strategies to support the work of the teacher and increase achievement of students with Special Educational Needs and Disabilities, which may include SEMH, ASD and ADHD
  • Promote, support and facilitate inclusion by encouraging participation of all students in learning and extracurricular activities
  • Use effective behaviour management strategies consistently in line with the school’s policy and procedures
  • Support class teachers with maintaining good order and discipline among students, managing behaviour effectively to ensure a good and safe learning environment
  • Observe pupil performance and pass observations on to the class teacher
  • Supervise a class if the teacher is temporarily unavailable
  • Use ICT skills to advance students’ learning
  • Undertake any other relevant duties given by the class teacher
Planning
  • Contribute to effective assessment and planning by supporting the monitoring, recording and reporting of pupil performance and progress as appropriate to the level of the role
  • Read and understand lesson plans shared prior to lessons, if available
  • Prepare the classroom for lessons
  • Communicate effectively with other staff members and students, and with parents and carers under the direction of the class teacher
  • Communicate their knowledge and understanding of students to other school staff and education, health and social care professionals, so that informed decision making can take place on intervention and provision
  • With the class teacher, keep other professionals accurately informed of performance and progress, or concerns they may have about the students they work with.
Health and safety
  • Look after children who are upset or have had accidents, including the need to change some children/young adults and to help students who are dysregulated and potentially violent towards other students or members of staff, using physical restraint where necessary
Professional development
  • Help keep their own knowledge and understanding relevant and up-to-date by reflecting on their own practice, liaising with school leaders, and identifying relevant professional development to improve personal effectiveness
  • Take part in the school’s appraisal procedures

Administrative Duties

General Administration and Reception Management
  • To produce correspondence and IT tasks, both independently and as instructed by the Executive Headteacher, Deputy Headteacher, SENCO or Head of School.
  • To maintain a high-quality reception area, greeting visitors, complying with procedures for security checks, escorting visitors and dealing with all enquiries.
  • Produce letters and other documents both independently and as instructed by the Executive Headteacher, Deputy Headteacher, SENCO or Head of School.
  • Assist the other school administrators with placing orders for resources, raising purchase orders, whilst ensuring value for money is achieved and procurement procedures are adhered to
  • To be the point of contact for the photocopier, ensuring sufficient supplies are stocked
  • Ensure sufficient stock of admin and academic supplies are in place, whilst working within the agreed budget
  • Responsible for opening and closing of the business premises daily
  • To liaise with the Executive Headteacher, Deputy Headteacher or Head of School and SENCO to update the key documents and policies on the staffroom noticeboard and policy folder
SIMS Management
  • To add new students, remove leavers, create common transfer files (CTFs) and transfer files through the S2S system while carrying out relevant paperwork
Attendance
  • To alert the Executive Headteacher, Deputy Headteacher, Head of School and SENCO to concerns about absent or persistently late students
Admissions
  • To assist the other school administrators with administration of admission of new students, ensuring all paperwork and legal documentation is in place
Welfare Needs
  • To update dietary and medical needs on SIMS

Safeguarding
  • Promote the safety and wellbeing of students, and help to safeguard students’ wellbeing by following the requirements of Keeping Children Safe in Education (KCSIE) and our school’s child protection policy
  • Work in line with statutory safeguarding guidance (e.g. Keeping Children Safe in Education, Prevent) and our safeguarding and child protection policies
