Logistics and Trade Compliance Coordinator

Responsible to: Logistics and Trade Compliance Manager, Endomag

Key working relationships: Existing Logistics and Trade compliance team members. Endomag QA, Finance and Supply Chain teams. Manufacturers, Distributors and Customers

The purpose of the role:

The job holder will have responsibility for logistical co-ordination of deliveries from suppliers to Endomag and shipment of products to distributors/customers. This will include comprehensive record keeping, enabling full audit compliance. Co-ordination and tracking of warranty returns and repairs will be an element of the role.

A necessary part of this role will involve supply chain interaction, tracking that deliveries to Endomag match the relevant purchase orders and ensuring that product is released in a timely manner, with full documentation.

Key Responsibilities and duties:

• Organise shipping of products from UK warehousing and suppliers to customers/distributors, including warranty returns and repairs meeting requested delivery dates.
• Goods In - taking receipt of deliveries, unpacking and checking the delivery to ensure that the specification and quantity is correct and that the condition of the goods is acceptable.
• Ensuring that non-conforming consignments are quarantined and reported to a manager.
• Put away inventory items into the correct storage location, and ensuring stock system is maintained.
• Picking inventory items against internal requisitions.
• Packing and dispatch of goods to external destinations.
• Comply with department SOPs and other relevant policies and regulations pertaining to the Logistics department.
• Matching deliveries with purchase orders and investigating discrepancies.
• Controlling on site inventory, creating picking lists, raising invoices within an ERP system.
• Assisting with and ensuring full import and export HMRC customs compliance is maintained, including maintenance of accurate records and files.
• Controlling finished goods inventory at our 3PL providers, and some suppliers.
• Assisting with the control of recorded inventory with Reps.
• Ordering of Warehouse consumables.
• Receiving deliveries and completing stock movements within an ERP system.
• Assisting the Logistics and Trade Compliance manager with ensuring that we maximise the use of any customs special procedures that would benefit the business.
• Raising export Commercial invoices with the correct tariff code, customs procedure codes and Incoterms.
• Assiting with tariff classification and origin determination where required.
• Ensuring the correct Incoterms are used for all shipments.
• Assisting with continuous improvement tasks.
• Maintain clear records for traceability and in compliance with ISO 13485.
• Ensure activities meet with and integrate with organisational requirements for health and safety, legal stipulations, environmental policies and general duty of care.
• This is an HQ based warehouse role with minimal opportunity for home based working

Requirements

• Experience in logistics and international trade compliance is a major advantage

• At least 3 years of experience in Logistics
• Evidence of experience in interacting with supply chain partners to ensure quality and timely delivery of products.
• Experience of dealing with customers regarding complaints, warranty returns and repairs.
• Knowledge of product tariff classification.
• Knowledge of Incoterms 2020.
• Experience of using different HMRC customs procedures desirable.
• Experience in technical and practical aspects of Import and Export Customs procedures preferred.
• Detailed knowledge of all fields on a CHIEF or CDS customs entry.
• Comprehensive experience of using Enterprise Resource Planning (ERP) Systems.

• Evidence of ability to work with critical attention to detail and high levels of accuracy.
• Proven organisational and time management skills to effectively handle conflicting priorities and ensure tight deadlines are met.
• Good IT skills (MS Office).
• Capability to produce professional and concise documentation.
• A willingness to learn new tasks and topics.
• Experience in working for a small, dynamic organisation.

Other: Willingness to travel within the UK and (occasionally) internationally as necessary.
