Provide audio-typing and word processing facilities with medical terminology as required, ensuring that the work is completed at a pace to enable the demands of the team to be met. This includes letters for patients attending the inpatient unit, Living Well Centre or outpatients and following home visits of doctors.
All documents must be attached to SystmOne. Respond knowledgeably, positively and promptly to enquiries received from patients, carers, medical staff and other health care professionals. Handle telephone calls from patients and relatives some of whom may be distressed, ensuring sure that appropriate action is taken.
Collate and monitor study leave and annual leave using the electronic absence planner facility. Produce a weekly Medical Team location sheet which is distributed to teams around the hospice. Support with the collation, production and circulation of on-call rota, liaising with locums and medical staff to ensure a robust rota is in place and that locums can be contacted when cover is required in times of unexpected leave.
Provide cross cover in the absence of other secretaries. Prepare educational material for the teaching requirements of the Medical Team. This is to include typing, photocopying and preparing PowerPoint presentations. Collect and collate statistical information as required.
Undertake any tasks relevant to the work of a medical secretary which develop as a special requirement of the Medical Team eg being co-ordinator for survey of patient satisfaction, organising and minute taking for external meetings. Administration for medical team meetings, compiling agenda items for approval by the chair distribution of agenda and documents, taking minutes for approval by chair and distributing of the minutes and any actions.
Liaise with other hospitals/departments/agencies and to deal with enquires and requests from a variety of sources (GPs, patients, relatives, solicitors, coroners officers, consultants and their secretaries etc). Ensure that incidents are reported using Vantage.

Ensure that Deprivation of Liberty Safeguarding forms (DOLS) are processed and relevant Governance and Safeguarding leads are notified. Maintain timely, accurate and compliant records and appropriate records updates including patient referrals and system 1, in line with Hospice and CQC Governance requirements Assist with ensuring that Standard Operating Procedures are kept up to date and new Standard operating procedures are developed in line with any new processes, Ensure that requests for access to medical records are processed appropriately.

Understand and comply with relevant legislation in relation to management of all forms of records. Assist the medical team with troubleshooting with SystmOne (the electronic equivalent of our patient notes) Book members of Medical Team on courses, raising purchase orders, cheques and applying for grants if required.

Carry out any other tasks as appropriate to the grade as required by the Medical Team and Medical Director.
