Main duties of the job
The Learning Disability and Autism and Safeguarding Teams are looking for a enthusiastic individual to join the teams as a shared role business administrator. You will need to be organised, have the ability to manage multiple task and have a understanding of Microsoft Office applications.
The successful candidate will join the teams working onsite at the University Hospital Southampton. Both teams operate Monday to Friday Office hours and work trust wide and support patients all over the hospital footprint.
This role will expose you to some distressing detail at times as both the teams support some of the most vulnerable patients in the hospital and you will as part of team be exposed to this. You will be fully supported in the role and there are a large number of staff support services available if needed.

Detailed job description and main responsibilities
Responsibilities:
The postholder will provide a comprehensive administrative service within their team.
Prepare documentation, communicate with stakeholders, and using Microsoft 365 organise and book meetings on behalf of the Line Manager.
General administrative duties including filing, photocopying, diary management and distribution of mail.
Attend any meetings relevant to the role and take minutes of meetings.
Be proficient in the use of all electronic systems in relation to the role and undertake training as required if new technology / systems are introduced, to ensure competencies are maintained and efficiencies of the administrative processes are maximised.
Experience:
Good standard of secondary education with literacy and numeracy skills demonstrable to GSCE pass level or equivalent standard.
Proficient in all aspects of Microsoft Office.
Administrative and organisational experience.

Qualifications, Knowledge & Experience
Essential criteria- Good standard of secondary education with literacy and numeracy skills demonstrable to GSCE pass level or equivalent standard
- NVQ Level 3 in Business Admin or equivalent level of experience
- RSA 2 word processing/typing or equivalent experience
- Proficient in all aspects of Microsoft Office
- Experience as a Receptionist or Admin Assistant linked to a clinical service or customer focused environment
- Knowledge of medical terminology
- Administrative and organisational experience
- Courses / further study attended to demonstrate evidence of personal development
- Diploma level qualification or equivalent experience
- European Computer Driving Licence (ECDL)
- RSA 3
- Proficient in the use of all hospital computerised patient systems
