Working in the Physiotherapy Department at The Coventry City Health Centre covering reception, answering the telephone and carrying out various administration duties, including printing and posting letters, dealing with the E-referral system and outpatient waiting lists.

Main duties are:
  • Be responsible for ensuring all communications associated with the appointment process e.g. with Clinicians, patients, GPs and relatives etc are undertaken in an expeditious and appropriate manner.
  • Assist with training new team members in operational Departmental and Trust procedures.
  • Undertake filing, scanning and photocopying as necessary ensuring all documents are accurately and appropriately achieved.
  • Prioritising daily tasks to achieve set timescales.
  • Collate, input and monitor department documentation and information to assist with the production of monthly reports.
  • To meet and greet patients for their appointment
  • Answer any telephone queries
  • Carry out any admin duties including scanning, printing labels for correspondence that needs returning to Restore
  • Managing referrals
  • Any tasks the Clinicians may request

  • Responsible for implementing, updating and maintaining both manual and electronic systems and databases according to Trust policies and procedures.
  • Dealing with referrals from the e-referral service, ensuring all are triaged by clinicians and booking appointments accordingly.
  • Be responsible for dealing with all calls received from patients and families in a professional manner, ensuring telephone standards are met.
  • Ensure all patients parents/carers are furnished with the relevant information documentation and advised as to the appropriate contact for further assistance.
  • Provide appropriate cover in the absence of other members of the team.
  • Order stationery.
