Team Personal Assistant - Bristol

We are looking for a Team PA to join Brandon Trust and the purpose of this role is to provide a proactive, systematic and reliable PA service to the Executive Leadership Team. The role will provide individual and business support to enable the effective and productive working of team members and the team as a whole.

The postholder will bring a key focus on efficiency, productivity, professional administration systems and will work with a high standard of confidentiality and discretion.

You’ll be working as part of a small team reporting to the Governance and Impact Manager however working daily with the Executive Leadership Team and their priorities.

The permanent contract for this role can be 20 - 25 hours per week to be worked over five days in the office. We are flexible to discuss the hours further and would be willing to consider school hours for this role.

Key Responsibilities and main duties:

  • Calendar and Diary Management will be instrumental to this role, booking new and all year round meetings
  • Plan and coordinate travel arrangements and accommodation liaising with internal and external parties
  • Screen and manage phone calls, emails, and correspondence, responding on behalf of ELT members as needed. Acting as a primary point of contact for the team and team members, including the Governance and Impact Manager and Business Support Officer. Draft formal written communications as well as support more informal verbal communication and signposting
  • Handling an array of day-to-day administrative tasks such as filing, document management, and office organisation. Prepare meeting agendas, take minutes, collate packs and format reports, and follow up on action items. Manage bring forward systems for meetings and individual executives and any other associated tasks
  • Provide targeted administrative support for special projects and campaigns as and when needed - formal and informal
  • Facilitate access to key business information by supporting the maintenance of the Sharepoint sites for the Executive and Wider Leadership Teams

You will have :

  • Experience of operating in a small team and engaging and dealing confidently with senior managers and stakeholders within the organisation
  • Experience of multi-tasking and working in a busy professional environment, scheduling and track time sensitive tasks and working to deadlines
  • Able to manage a high and varied workload through good planning, prioritisation and delegation where possible
  • Experience of delivering strong administration and excellent customer service
  • Good written and verbal communication skills including minute-taking where attention to detail is essential
  • Excellent computer literacy and proficiency in MS Office (Outlook, Word, Excel and PowerPoint)
  • Proactive and positive approach with a solution-orientated and "can-do" attitude and able to take initiative
  • Ability to learn new skills and knowledge
  • Ability to digest, distil and apply new information communication and information is essential.
