JOB DETAILS Job Title: Information/Admin Officer Reports to: Transfusion Practitioners Accountable to: Hospital Transfusion Team Manager Band: 3 Unit/Department: Hospital Transfusion Team Location: Blood Bank Bexley Wing, SJUH and Jubilee Wing LGI Note that the hours of work are over 3 days 08:30 to 17:00 Monday to Friday (22.5-hour week). Your days will not be set and may differ from week to week.
This is however open to discussion. JOB PURPOSE To provide administrative support to the Hospital Transfusion Team. To update and maintain electronic staff record (ESR) and local training/e-learning records. To assist with audit data collection and compiling audit reports.
To extract, record and report data from the Blood Bank Autofate I.T. system in line with Blood Safety & Quality Regulations 2005 (BSQR). To follow up records of transfusion within clinical areas and to update information on Autofate I.T. systems following data received from clinical areas.
To assist with general telephone enquiries and information requests. JOB DIMENSIONS The post involves liaison with Blood Bank staff and some liaison with clinical staff. The Leeds Teaching Hospitals NHS Trust deals with upto 200 unfated blood units per month.
The details of these requires extracting from Blood Bank Autofate I.T. systems and disseminating to clinical areas for verification of the transfusion. The results of this then requires further I.T. processing to meet BSQR and MHRA (Medicines Healthcare Regulatory Agency) requirements.

This post will also involve inputting of training data onto ESR and local databases. Also, data collection, inputting and analysis for audits. The post supports three Transfusion Practitioners. This quality focus extends to all aspects of data acquisition and processing, as well as information provision to Transfusion Team stakeholders, and IT and other developments. It also covers the service provided by staff in supporting roles. Understanding of transfusion data management Understanding of NHS structures and the Hospital Transfusion Teams relationship with its stakeholders, customers and collaborators. Understanding of the Transfusion Team service and their role within LTHT.
PRINCIPAL DUTIES & AREAS OF RESPONSIBILITY To liaise with Trust colleagues regarding maintenance of Autofate, transfusion and Telepath records. To visit clinical areas as required to search patient case notes for transfusion records & to always consider confidentiality To provide administrative support to the Transfusion Team including arranging meetings, preparing teaching materials, answering telephone enquiries, filing, post, etc.
To maintain records of staff training, e-learning records and reports including ESR data input To assist the Transfusion Team in developing reports for BSQR compliance, staff training attendance and audit results. To provide comprehensive administrative and secretarial support to the Transfusion Team during Clinical User Group meetings including the preparation of related correspondence, the provision of supporting papers and the collation of information.
To support the Transfusion Team in ordering stock and non-stock items To provide a secretarial and administrative service during local and regional Transfusion Team meetings. As a member of the Transfusion Team, to provide cover in both team offices (LGI & SJUH) in terms of admin and secretarial support as required.
Health and Safety/Risk Management All staff are responsible for working with their colleagues to maintain and improve the quality of services provided to our patients and other service users. This always includes complying with the Leeds Teaching Hospitals NHS Trust Policies, including Health and Safety policies, in particular by following agreed safe working procedures, and reporting incidents using the Trust Incident Reporting system.
Infection Control The jobholder must always comply with the Leeds Teaching Hospitals NHS Trust Infection Control policies, in particular by practising Universal Infection Control Precautions. Hand hygiene must be performed before and after contact with patients and their environment.

Data integrity and confidentiality and the correct handling of data are key to all posts within the Transfusion Team. KEY RESULT AREAS Individual objectives will be agreed and reviewed annually. You will be based at one of our two main sites (Leeds General Infirmary and St James) and will be required to work across both Leeds sites.
